Extension of Vacation Accrual Exception

Many faculty and staff have not been able to use vacation time in 2020 and risk losing vacation accrued that exceeds the maximum carryover. In appreciation for all that our employees have done, the decision was made to extend the exception to the maximum carryover to the end of the current fiscal year, June 30, 2021. This extension provides employees the flexibility to use accrued vacation over the maximum until their anniversary date that occurs after July 1, 2021.   1. Check the appropriate checklist(s) to see if you have completed everything you need to do in the last 30 days before Workday launches.

2. Check BuckeyeLearn to see if you have expected trainings you have not yet completed. You may also have recommended trainings. These items will appear on your BuckeyeLearn transcript if they must still be completed.

3. Hourly employees and their supervisors: eTimesheet will be retired in preparation for Workday on January 3, 2021.

  • The last day to enter time will be Saturday, January 2.
  • All time entered for dates December 20, 2020 – January 2, 2021 in eTimesheet will be loaded to Workday Time Tracking on January 3.
  • Managers will approve the pay period December 20 – January 2 in Workday by January 5.

New Employee Orientation

Starting in November, all newly hired campus and medical center staff will attend a new virtual orientation on their first day. This new virtual, interactive forum will introduce new Ohio State staff to the culture of Ohio State and set them up for success from their first day. Orientation will be offered every other Monday and create a consistent, unified first-day experience across our five campus locations, Ohio State Wexner Medical Center and sites across the state.

The first virtual orientation for campus staff will be on Monday, Nov. 9. The first virtual orientation for Wexner Medical Center employees will be on Monday, Dec. 7. Starting December 7, campus staff will begin orientation at 9 a.m. All new faculty members will continue to be invited to New Faculty Orientation, hosted by the Office of Academic Affairs.

This new orientation experience, which will be a two-and-a-half-hour Zoom session, will provide staff an opportunity to:

  • learn more about Ohio State’s culture
  • hear from our leaders, including President Johnson
  • participate in a panel discussion with current employees with the opportunity to ask questions
  • meet and have conversations with other new employees
  • participate in diversity and inclusion conversations
  • learn how to find resources related to compliance requirements, benefits and retirement offerings, parking, wayfinding, technology, eLearnings and safety

We will be implementing common start dates for staff every other Monday with all new employees across the university and medical center starting and attending orientation on the same day. Common start dates have been an existing practice for the Wexner Medical Center and start dates will continue to align with the existing medical center orientation.

Ohio State Alumni Magazine Stories on the University and Race

The newest issue of the alumni magazine was delivered this week and some stories were posted online. Within the issue is a series of stories about the university confronting racism. The University Archives assisted with a story on the history of Black student experiences over time.

Workday Training: What Do I Have to Do?

Workday will have a variety of training options available in the forthcoming months. There are multiple categories of training: 

• Expected – Based on your role/duties, you may be required to complete certain Workday training in BuckeyeLearn. 
• Recommended – You should consider these, especially if the function covered is highly used for your role/duties. 
• Information – these are for everyday functions that most of us will use.

Workday reports provide information in real-time, resulting in more reliable data with many benefits. The reports are:

  • Actionable – Initiate, update and approve transactions from interactive reports.
  • Flexible – Resort, reorder output or view data as a chart.
  • Always available – Workday dashboards group related reports together and are populated with up-to-the-minute data every time you open a dashboard.
  • Sharable – Share data produced from Workday reports with other university employees in a protected manner; university data is more secure since it doesn’t leave Workday.
  • Immediately meaningful – Use reports and integrated analytic tools to directly answer operational and strategic questions.

Enterprise Project Tidbit: What Data Won’t Be in Workday?

The data that is currently in PeopleSoft and other administrative systems will not be moved into Workday. Historical data that needs to be retained and is not converted into Workday will be stored in legacy format in the Reporting and Analytics Environment (RAE). Documentation of what data will be converted into Workday will be available soon.

Workday is only replacing some of the university’s systems. Academic information will remain in PeopleSoft until Workday Student is implemented. There are numerous other systems – Salesforce, eBuilder, TAS, for example – that will continue to be the system of record for university data. Additionally, Wexner Medical Center users will also continue to utilize data and reporting systems, such as PowerBI for medical center focused reporting from applications such as Epic and the Information Warehouse.
