Keep Your Zoom Apps Up to Date

Zoom is taking a big step towards ensuring their users stay current with the latest Zoom releases. Beginning November 1, if your Zoom desktop or mobile app is more than 9 months old, you will be prompted to update before you can attend a meeting. Going forward, in order to use Zoom, you must be updated to one of the latest versions. We encourage you to be proactive on your personal devices and keep those up to date so you aren’t late to class or a meeting. Voluntary Vaccination Status Reporting for Faculty and Staff

To continue refining our overall public health response, the university is asking employees to voluntarily share their vaccine information by completing this simple form. Although this self-reporting is not required, it is encouraged as this information will be used for contact tracing, isolating/quarantining or other individual case decisions in the event of a COVID-19 exposure, as aggregate data to determine the percentage of vaccinated Ohio State students, faculty and staff, and to drive decisions on public health measures needed for the Ohio State community. 

Contents of Keep Teaching Site Moving to Permanent Home

Keep Teaching, the website created as Ohio State’s temporary response to the COVID-19 pandemic and the shift to online and hybrid teaching, is being retired this May, but the valuable information the site provided will live on within the university’s Teaching and Learning Resource Center.

The Teaching and Learning Resource Center launched in September 2020 as the new hub for Ohio State instructors to find teaching and learning strategies and examples and teaching-related resources, information and opportunities from across the university. The site includes content from the Center for Life Sciences Education, the Center for the Study and Teaching of Writing, the College of Education and Human Ecology, the Michael V. Drake Institute for Teaching and Learning, the Office of Distance Education and eLearning, the Office of Diversity and Inclusion and University Libraries.

Beginning mid-May, all links to the Keep Teaching site will be redirected to the Teaching and Learning Resource Center. This change is scheduled to take place between spring and summer semesters to minimize any disruptions. No content from the Keep Teaching site will be lost during this transition; it is simply being reorganized within the Teaching and Learning Resource Center. All information, including teaching strategies by instructional mode, tool-specific information and learning opportunities will be available at If you haven’t explored the Teaching and Learning Resource Center, be sure to check it out! You can browse resources by tool or by teaching topic, and you will always find a running list of upcoming learning opportunities from around the university.

Tucker is new in IT and keeps getting asked if there are webcams with extra long cords.

Tucker should go to Purchasing Goods & Services – How to Create & Approve a Requisition to see how to do this. A good vendor might be CDW-G and can be found under “Round Trip” after choosing Buckeye Buy.

Also, remember purchases still need AD approval during our current restrictions.

Mara Jade should first start with Workday Basics. There are also many other job aids and videos for Workday in the Administrative Resources Center – they can search or go to the Workday section and then browse by role.

Extension of Vacation Accrual Exception

Many faculty and staff have not been able to use vacation time in 2020 and risk losing vacation accrued that exceeds the maximum carryover. In appreciation for all that our employees have done, the decision was made to extend the exception to the maximum carryover to the end of the current fiscal year, June 30, 2021. This extension provides employees the flexibility to use accrued vacation over the maximum until their anniversary date that occurs after July 1, 2021. 2. Check BuckeyeLearn to see if you have expected trainings you have not yet completed. You may also have recommended trainings. These items will appear on your BuckeyeLearn transcript if they must still be completed.

3. Hourly employees and their supervisors: eTimesheet will be retired in preparation for Workday on January 3, 2021.

  • The last day to enter time will be Saturday, January 2.
  • All time entered for dates December 20, 2020 – January 2, 2021 in eTimesheet will be loaded to Workday Time Tracking on January 3.
  • Managers will approve the pay period December 20 – January 2 in Workday by January 5.

New Employee Orientation

Starting in November, all newly hired campus and medical center staff will attend a new virtual orientation on their first day. This new virtual, interactive forum will introduce new Ohio State staff to the culture of Ohio State and set them up for success from their first day. Orientation will be offered every other Monday and create a consistent, unified first-day experience across our five campus locations, Ohio State Wexner Medical Center and sites across the state.

The first virtual orientation for campus staff will be on Monday, Nov. 9. The first virtual orientation for Wexner Medical Center employees will be on Monday, Dec. 7. Starting December 7, campus staff will begin orientation at 9 a.m. All new faculty members will continue to be invited to New Faculty Orientation, hosted by the Office of Academic Affairs.

This new orientation experience, which will be a two-and-a-half-hour Zoom session, will provide staff an opportunity to:

  • learn more about Ohio State’s culture
  • hear from our leaders, including President Johnson
  • participate in a panel discussion with current employees with the opportunity to ask questions
  • meet and have conversations with other new employees
  • participate in diversity and inclusion conversations
  • learn how to find resources related to compliance requirements, benefits and retirement offerings, parking, wayfinding, technology, eLearnings and safety

We will be implementing common start dates for staff every other Monday with all new employees across the university and medical center starting and attending orientation on the same day. Common start dates have been an existing practice for the Wexner Medical Center and start dates will continue to align with the existing medical center orientation.

Ohio State Alumni Magazine Stories on the University and Race

The newest issue of the alumni magazine was delivered this week and some stories were posted online. Within the issue is a series of stories about the university confronting racism. The University Archives assisted with a story on the history of Black student experiences over time.

Workday Training: What Do I Have to Do?

Workday will have a variety of training options available in the forthcoming months. There are multiple categories of training: 

• Expected – Based on your role/duties, you may be required to complete certain Workday training in BuckeyeLearn. 
• Recommended – You should consider these, especially if the function covered is highly used for your role/duties. 
• Information – these are for everyday functions that most of us will use.
