Enhanced Feature:  Data from MARC fields/subfields added to display

OCLC has added MARC fields and subfields in support of RDA cataloging, as well as to provide users with more descriptive information about the items they are looking at:

  • MARC 382 – Medium of Performance. Display from $a. If multiple $a they will display on separate lines.
  • MARC 383 – Numeric designation of Musical Works. Display $a,b,c in order.  If multiple $a they will display on separate lines.
  • MARC 384 – Key. Display $a. Non-repeatable field so shouldn’t have multiples.

Enhanced Feature:  Improvements for retrieving OCLC knowledgebase links

We have made changes to our query logic to continue improving the experience with knowledgebase links. This improvement is in response to reports of irrelevant links being returned.

Deliver blog posts to Outlook

It can be more convenient to access information in one location. We all use Outlook to receive email, but you can also use it to retrieve new posts from any blogs you wish to follow.

In this example, I am going to show you how to retrieve Information Technology blog posts. First, you need the URL of the blog itself, which in this case is https://library.osu.edu/site/it/

Open the blog in your favorite web browser (Internet Explorer, Chrome, Firefox) and select the URL with your mouse. Right-click and choose Copy.

Next, in the sidebar of Outlook, click on the RSS Feeds Directory. Right-click on RSS Feeds and choose Add A New RSS Feed…

HathiTrust and the OSU Libraries Partnership

As a member of the Committee on Institutional Cooperation, Ohio State University has partnered with HathiTrust as part of a collaboration that establishes a repository to archive and share digitized collections. HathiTrust is a partnership of academic & research institutions offering a collection of millions of titles digitized from libraries around the world.

At the time of this post, OSUL has shared many volumes  for scanning by Google to be added to the HathiTrust digital library . While all are available to be searched and previewed, over half of these items are soon to be available to our users as full-text.

Our library catalog currently offers Google previews and some full views to a small number of books:

OSUL continues to add titles to the HathiTrust collection. Applications Development and Support‘s goal is to make digitized books more easily discoverable for our OSU users.  We will offer more access to scanned books, similar to other  Hathitrust partner institutions such as the University of Chicago, Johns Hopkins University, Indiana University, and Boston College.

As an example, here is the search result for Alice’s adventures in wonderland, and Through the looking-glass by Lewis Carroll in Lens, the online library catalog of the University of Chicago:

In addition to a preview of the title via Google,  users may access  (read, search and download) full text of the book from the HathiTrust Digital Library:

As HathiTrust partners, Ohio State University can provide our users full-text access to not only our own digitized collection, but also to the millions of online books that are added to the repository.  Applications Development & Support will be bringing you this exciting enhancement in early 2014.

Sierra Update on November 5

An update to Sierra is scheduled for November 5 that is expected resolve several outstanding known issues. There will no downtime for this update, but in order to see the changes, staff should close and re-launch the Sierra Desktop Application (SDA) session.  New Jar files must be downloaded before the SDA will launch, so it may take a few moments.

 

This update is expected to resolve:

 

Acquisitions (1 ticket resolved) Invoice date not populating invoice
Description: When processing electronic invoices, the invoice date from the file does not populate the invoice date field in the invoice on the Accept/Reject tab. In some cases, the invoice date is blank and in other cases, the date shows as 1/1/1970.
Cataloging (2 tickets resolved) Automatic Authority Control Processing issue
Description: Automatic Authority Control Processing is not updating all headings when it runs overnight.
Missing custom limits
Description: Migrating libraries that created custom limits in Millennium do not have access to the custom limits in Sierra. [Custom limit examples: – Illustrations, Game format, Conference publication, Festschrift, Video recording]
Circulation (1 ticket resolved) Circulation overrides file missing staff initials
Description: When an item is checked out to a local patron, overriding an INN-Reach request, the circulation overrides report does not include staff initials.
Create Lists/Desktop (3 tickets resolved) Slow loading of SDA and slow access to functions
Description: A library reports that logging in is very slow. Also in Create Lists the “Use Existing Search” function takes from 1 minute to 4 minutes to load for most users. Sometimes the search never appears, causing the SDA to freeze and require a relaunch. Additionally, accessing functions that use create lists is very slow once the user has logged into SDA.
Create Lists searches specifying MARC tag and subfield with “All fields don’t have” don’t complete successfully
Description: A Create Lists query specifying MARC tag and subfield with”All fields don’t have” fails with an error message: “Error processing query”. The review file never displays as “complete” and the search cannot be cancelled, resulting in a busied review file.Example: MARC tag 245 | h “All fields don’t have”
Status listed as empty even though results were displayed
Description: Create List has results, however still had ‘in progress” status. The “Cancel” button was used to try and cancel the progress, however it only changed the status to “Empty” but the 18 records are still in the review file.
INN-Reach (2 tickets resolved) Can’t view details for items in reports
Description: When viewing all INN-Reach reports, highlighting an item and right clicking should bring up an active contextual menu that includes an option to view details for the item. Instead, the system is offering the menu, but with all choices greyed out and inactive. The user cannot view detail.
Patron not blocked based on maximum owed
Description: When authenticating for INN-Reach, a patron is not being blocked for exceeding the MAX OWED limit for the patron’s patron type.
WebPAC (3 tickets resolved) Checked out items displaying as available
Description: In WebPAC browse displays, checked out items sometimes display as available.
Title searches for large results sets issue
Description: WebPAC title searches for large results sets can sometimes take up to 5 minutes to return results and sometimes end with a proxy error.
Title search record browse links to the wrong records
Description: In some cases, when a user chooses a record from a title search results browse screen, the wrong title is displayed.

Create Lists and Boolean Searching

The information below has been taken directly from Sierra documentation. Boolean expressions help you refine your search and give the most accurate list of results.  Make note of the operators that work best with fixed fields vs. variable fields for the most accuracy.

In Create Lists, when you create a review file or append records to an existing review file, you use Boolean expressions to specify the search criteria for the records. You can use the following expressions (linked text below will take you to Innovative’s CSDirect manual – login required):

< Less than
>= Greater than or equal to
<= Less than or equal to
H Has
A All fields don’t have
O At least one field doesn’t have

Known issues resolved by latest Sierra update

On Thursday, August 29, an update bundle was installed to the Sierra integrated library system that should resolve the following issue reported by various libraries:

  • A library reports that in Create Lists, the “Use Existing Search” function takes from 1 minute to 4 minutes to load for most users. Sometimes the search never appears, causing the SDA to freeze and require a relaunch. Additionally, accessing functions that use Create Lists is very slow once the user has logged into SDA.
  • Attempts to copy a review file result in an erroneous error message that “max size of destination file is too small for total size of original file.”
  • Cross reference entries selected from a WebPAC search results browse screen are very slow to load and can redirect the user to another results browse screen.
  • By default WebPAC displays a maximum of 32000 results for phrase and keyword searches. This number may be adjusted for phrase searches using the IBROWSE_MAX web option. WebPAC currently ignores both the hard-coded limit and the optional IBROWSE_MAX limit.
  • The Verify Headings compact browse displays only one heading rather than all appropriate headings.
  • Automatic Authority Control Processing operates very slowly.
  • Automatic Authority Control Processing is not updating all headings when it runs overnight.
  • Library staff report that they cannot use Global Update toggle to view MARC 006, 007, or 008.

Customize Your Sierra Display Settings

Did you know that you can customize the way Sierra displays? One of the benefits of migrating to Sierra is that because you have your own login, you can also customize the way Sierra looks and feels. But how?

First, open the Sierra Desktop Application.

CHOOSE YOUR SKIN

From the top menu, click Admin (or press Alt+A on your keyboard) then select Settings:

Click the Skin drop-down menu in the Look and Feel section:

Use your keyboard to quickly find a review file

We have a LOT of review files in Millennium Sierra. And sure, we try to empty a review file as soon as we’re done using them, right? RIGHT? Sure we do. But that still means there are many review files, as many as 320, being run and in use each day.

And this can be a problem when selecting a review file from some Sierra functions, such as Data Exchange and Global Update.  The review file number isn’t listed in the drop down list, making it difficult to quickly scan to the review file you wish to select and possibly causing eyestrain.

So, here’s a quick tip for finding your review file a little easier:

Type the first letter of the name of your review file.

In the example below, my review file is called “IT Test of order records no ODATE 130628”.  In order to access it from the long list of review files, I tapped the “I” key on my keyboard repeatedly until my review file was selected.  This bypasses all the other review files that don’t start with I, so in the example below, it bypassed “SSCAT april stats,” CAT Charvat March sig 3-25-13,” and “mec ottoman microfilms.”

This tip should help save you time and possibly save your eyesight!
