WORK IN PARTS (WIP)

The concept of "works in parts" has been developed to permit the Cataloging Department to provide for the shelving together of individually titled volumes of a monographic set, while at the same time providing separate, full monographic catalog records on LCS for each volume. (This concept is not meant to replace "analytics,' which are related to serials, but to provide an alternative to M-set cataloging when the pieces have individual titles. If a monographic set lacks individual titles for its volumes, it must be cataloged as an M-set rather than as a work in parts. ) To date, access points have not been provided for individual titles within M-sets. Conversely, if each volume has been cataloged separately, i.e., each volume with a unique call number, the volumes have been physically separated from one another. In some cases of this type, related volumes may even be in different location libraries and thus not as readily accessible to the user.
Effective immediately, the following procedure will be instituted:
- The collection manager/bibliographer may decide which sets they wish cataloged as WIP and indicate this on the order record.
- A call number will be assigned to the entire monographic set, the call number for each volume varying only by the addition of the appropriate volume number for the individual part. (This arrangement keeps together on the shelf all volumes in a set but does not require creation of a separate "container record" for the general monographic set title and the holdings.)
- Each volume is then cataloged separately as an individual monograph, thus providing full access through LCS as well as the ability to circulate each volume on its own holdings record.
- A series entry is made in each record, thus providing access by the monographic set title.
- Once a monographic set is cataloged as WIP, new volumes received will be routinely processed by the Acquisitions and the Cataloging Departments, much like monographs in general.
How To Indicate Items to be Cataloged as WIP
Until new materials request forms can be designed and printed, bibliographers and location librarians should use the current form. Under LOC SEARCH RESULTS, mark _______ Set and indicate WIP under Other: ________ .
