Technical Services Memorandum
N.S. No. 85-7 July 1985
Unindicated Duplicates
Effective July 1985, Technical Services practice will be to screen and refer for collection development review all unindicated duplicates, here defined as any work selected for a location which subsequently is found during processing to have a copy --without indication that the location wanted an additional copy. (This does not apply to HEA, CHI and TOP titles).
Unidentified duplicates, regardless of the point in processing at which they are identified, will be:
- Charged on LCS by ACQ, APD, or CAT personnel to CF 991111
- Brightly streamered, with the location for which each is a duplicate, clearly marked; and
- Routed to Room 036 Main Library, Monograph Acquisition Division (MAD).
Unindicated duplicates will be displayed in the referral section of the review shelves for one week, with the regular approval shelf cycle. Reviewers will be given the choice of:
- Adding to the original location as a duplicate; or
- Referring to another location (original fund assignment not to be changed, regardless of final destination of duplicate); or
- Rejecting for the Libraries.
If rejected, the Collection Development Officer (in consultation with others, as appropriate) will determine whether the item will be added to the Main Library collection, referred to Gifts and Exchange for exchange, or given to the Friends of the Libraries book sale.
MAD staff will update INNOVACQ to reflect the decision made. (If an item is rejected, for example, the INNOVACQ record will indicate the final disposition of rejected copies, except for unselected duplicate gifts.) LCS will be updated (or a record deleted) via INNOVACQ.
