Technical Services Projects/Priorities

Existing Staff Resources — 61.5 FTE; 14 GAAs

  • Acquisitions Department — 14 FTE
  • Serials/Electronic Resources Department — 13.5 FTE; 2 GAAs
  • Cataloging Department — 17 FTE filled; 2 FTE vacant; 11 GAAs
  • Special Collections Cataloging Department — 6.5 FTE; 1 GAA
  • TS Accounting and Administration Department — 8.5 FTE

First Priority Activities

1. Acquisition of new materials

  • ordering of serials/monographs/electronic resources
    • monographs — 23,000 ordered
    • serials — 896 ordered (includes e-journals)
  • claiming of serials/monographs
    • monographs — 3,236 claims reviewed; 5,037 status reports added
    • serials — 19,203 claims issued
  • cancels/ceases of serials
  • receipt of monographs — 26,364 monograph volumes received
  • approval plan management — 20,217 received
  • serials check-in — 211,000 issues

2. Cataloging of newly received materials

3. Maintenance activities

First Priority Projects (must be done)

4. Transfer of serials from Dawson to EBSCO — approximately 7,500 titles:
Involves creation of new order/check-in records, closing old order/check-in records by end of summer 2000; then fallout when issues begin to arrive in January 2001

5. ARMS implementation — invoice processing for the materials budget

6. Analytics back issue requests — In the Fall of 1998, the Cataloging Department announced we would be accepting requests for cataloging analytics back issues. 65 plus series requested and increasing every day

7. Retrocon — Monograph cards — 3,000 cards not converted by machine processing These records are very difficult ones, with many problems.

8. Slavic backlog -- about 4,200 titles being searched and copy cataloged on site; if original cataloging required they are sent to OCLC TECHPRO or University of Kansas for contract cataloging; majority are in poor condition.

9. Non-Roman Language backlogs — some progress being made in some languages

  • African — 197 titles
  • Chinese — 2620 monographs, 325 serials
  • Hebrew — 5301 (TechPro contract)
  • Japanese — 2492
  • Korean — 700 monographs, 74 serials
  • Slavic (new receipts) — 1536 monographs, 20 serials

  • Estimate — 12,846 monograph titles; 419 serial titles
10.  ITKnowledge — database of electronic IT books being cataloged by OSUL on behalf of OhioLINK — 1,400 titles (must be completed by August)


Second Priority Projects (currently being worked on as time permits with temporary staff or staff overtime in some cases)

11. Special Collections retrocon clean-up — up to 90,000 in need of review with correction expected for 15% (13,500)

12. De-duping Serial Retrocon Records — 4,800+ suppressed full bibs with no attached records to be de-duped; some work being done by Circulation

13. Convert Lib Has "Split" Locations — Update all current Lib Has check-in records with "Split" as location into individual Lib Has statements with 3-letter location code. 2,800 + remaining

14. Full cataloging of electronic resources — many electronic resources currently only have a brief records in OSCAR; other records need to have links for related e-versions added; full cataloging needs to be completed — approximately 2,000 title

15. Baggs Collection — 1,000 titles in Art Dept. collection

16. Retrocon of EL (Literature) and AH (American History) classifications — 22,000 titles

17. Government documents — backlog of material to be cataloged

18. Analytics/Tracings File — 50,000 short analytic bibliographic records which were not converted to full records during the machine conversion. These records were not converted because the series entry on the cards did not match records on OCLC due to differences in cataloging.

19. Special collections — number of items in the uncataloged collections are impossible to estimate but known to be enormous in size (at least on the item level).

20. Transfer of government documents titles from MAI to AGI — unknown

21. APA serials cataloging project — 30 titles received per month


Third Priority Projects (no work being done at present)

22. OhioLINK Major Microforms Project (Serials) — Add item records for each title in each series. Add local notes (590) to bib records if reels contain more than one volume. Link item records to multiple bibs if reels contain more than one title. — 933 titles to be done

23. Serial Card Retrocon — 359 Serial titles from the card catalog with short records on OSCAR; not overlayed by OCLC retrocon records. Will need to be manually searched on OCLC again for copy. If none found, will need original cataloging — require considerable expertise to search before sending to TechPro for cataloging.

24. PKO Titles — Titles sent as Loc Controlled Gifts to be cataloged for SEL from the former Perkins Observatory library. These are photocopies of title pages. 159 titles to be cataloged.

25. Other Serial Collections — Alvin J. Reiss Collection -- 60 titles stored in room 022 to be cataloged and processed. Arnold S. Johnson collection: 33 titles on hand to be cataloged and processed. Cat. Dept. continues to forward serial titles to SER as they encounter them in their backlog.

26. Microform Titles — 148 titles to be cataloged for MIC

27. OSCAR monographic short records — 66,000 — must be checked piece by piece to determine what these are.


Current Stages of Work being Done by Local Library under OSUL Supervision

28. Polar Library project — In early 1998, the project started to add the Polar collection to OSCAR (about 6,000 titles) — current conversion is being done very slowly by the Polar librarian.

29. Herbarium Project — The Herbarium Project took form in late 1994 to add the Herbarium collection to OSCAR. As of September 1, 1999, 4,817 volumes have been added (first phase). Plans for the second phase, copy cataloging of titles not already held by OSUL, and the third phase, original cataloging of titles not held by OSUL, have not been completed. While these will involve questions of training, there are also questions of equipment and staffing that need to be resolved. The question of cataloging the Herbarium serial titles also needs to be addressed.
