1) What suppression code (BCODE3) should be assigned to bibliographic records for materials for which the last copy is withdrawn? Should this be "z" (OSCAR only), "-" (OSCAR and OhioLINK) or possibly "s" (suppressed from public display). The current guidelines do not address this question. By default, when a last copy is withdrawn, the BCODE3 is not edited and thus some WTH materials only display in OSCAR (particularly short bibs) or others display in OhioLINK central. Other OhioLINK libraries either delete or suppress bibs for last copy withdrawals, or only allow them to display in the local system. The general consensus of DMSC is that Ohio State should not be allowing these bibs to display at central. RECOMMENDATION: Bibs for which the only location is WTH should have BCODE3=s (do not display to public) Or, if collection managers and OSCAR Users Committee feel there is value in displaying 'no longer owned' materials, then use "z." No 'holdings' for which the only location is WTH should display at OhioLINK central. Workflow: OSUL locations send 'last copy withdrawal' notices to Catalog Maintenance for OCLC holdings deletion. At that time, Catalog Maintenance also would update the bib BCODE3 to the chosen value. Other cataloging centers would do their own OCLC deletion and BCODE3 update. Catalog Maintenance could flip the BCODE3 on all existing bibs for which the only copy is WTH, in order to bring these into conformity with the chosen value.
Current guidelines say this is optional. However, if mandatory, reinstatements would allow re-assignment of the original owing locations. Also, statistical reports could be done on withdrawals according to original location. --Noelle
