Acquisition Department Guidelines for Student Employees
The primary goal of the Acquisition Department is to efficiently order, receive and process materials for the Libraries. To that end, the Acquisition Department has established the following policies and procedures.
Responsibilities
Students may be expected to accept a variety of assignments. These may include but are not limited to office tasks such as working on a microcomputer, filing, cleaning, checking reports, running errands to another university building and other special projects as assigned.
Enrollment Requirement
Effective Spring quarter 1994, all student assistants must be enrolled a minimum of six credits per quarter or summer session or they will not be permitted to continue working for University Libraries in any department.
General
- Visitors are not permitted at work. Students may wish to ask their supervisor for permission to step out of the department momentarily if they have a visitor.
- Very brief occasional personal calls are permitted. There is a pay phone on the first floor.
- The library's supplies and equipment, e.g., typewriters and microcomputers, are for departmental use only. Students are not permitted to make personal use of the copy machine.
- All library employees, including students, must exit through one of the public first floor entrances to the Main Library .
Attendance -Tardiness
In the event of illness or tardiness, students must notify their supervisor each day before they are to report to work. If the supervisor is not available, a message should be left for him/her.
If you must be absent due to a previously scheduled appointment such as exams, doctor visit, etc., please try to notify your supervisor at least one week in advance.
Departmental phones are answered between 7:00 A.M. and 5:00 P.M.
Extensive tardiness, absence or failure to notify of absence may result in disciplinary action including dismissal.
Hiring
Students are hired for one quarter at a time and are expected to work the entire quarter. However, the department seeks to retain students for several quarters if work performance is satisfactory.
Hours of Work
- Students must work a minimum number of hours per week as designated by the supervisor. Students may work a maximum of thirty hours a week dependent on the hours available for the specific position. (Foreign students are limited to 20 hours per week at all times.) Students are not permitted or expected to work without staff supervision on a regular basis.
- Students may (and are encouraged to) work during quarter break periods.
- Supervisors will determine student schedules for each quarter based on the student's schedule of classes and the supervisor's work schedule.
- Work schedules may be changed during the quarter with the approval of the student's supervisor. However, students are expected to work their previously agreed upon number of hours each week.
Time Sheets
- Students should sign in when arriving at work and sign out when leaving work.
- Time sheets must be signed by the student each pay period (a two week time period)
to ensure payment. Failure to do so may result in the student not receiving a paycheck for that pay period.
- Student pay period weeks are from Friday to Thursday.
Paychecks
- Paychecks will be distributed to students on payday (every other Friday). If yoy are not working on payday Friday, and need to pick up your paycheck on Thursday, please notify your supervisor who will make the arrangements. Early checks picked up on Thurs., (after 3:00 p.m.) may not be cashed until Friday.
- Due to payroll processing, you will not receive your first paycheck for approximately one month. You will also receive your last check at least two weeks after your last time sheet is submitted to Personnel. If the check needs to be mailed, please make those arrangements with the supervisor.
Breaks/Eating/Smoking
- If a student works four consecutive hours he/she is entitled to a 15 minute break.
- If the student works eight hours, he/she is entitled to two 15 minute breaks (one in
the morning and one in the afternoon). It is not necessary to sign out on the time sheet for 15 minute breaks. Students will be paid for the time during which he/she is on break.
- If a student takes a lunch/dinner break, he/she must sign out on the on the time sheet. The student will not be paid for the period during which he/she is at lunch/dinner.
- There is no eating permitted in the library, except in the staff lounge or on days when we are having in-house luncheons/parties. Beverages are allowed in the office area but not near computer equipment.
- Smoking is not permitted in the library building. You may leave the building during your 15 minute break to smoke outside but there are no extra "smoking breaks."
- Students may use the staff lounge for breaks/lunch/dinner.
