THO Location for Collections Split between Sullivant and Ackerman:
BSL, ISD, LAT, WMN

Ackerman & Sullivant.   The BSL, LAT, and WMN collections split between Ackerman (stacks items) and Sullivant (reference). Periodicals went to Sullivant. Other serials (annuals, monographic series, etc.) will be processed for the location requested by the subject specialist. ACQ and SER updated OSCAR order, checkin, and LIB HAS codes based on subject specialist decisions; otherwise, the default is Ackerman (code = BSL, LAT, WMN).

In Process Items.   ACQ and SER changed locations on outstanding orders only. A note was added to the order or checkin record when a location was updated. From past experience, splits are seldom perfect. Some titles will need to be transferred if they turn out to be more appropriate for the other location. That can be done by the subject specialist after the move.

Keeping a Record of Location Code Changes.   Orders are archived starting 24 months after receipt/payment. If BSL, LAT, and WMN want a permanent record of which THO records were previously BSL, LAT, and WMN, location staff will need to add a Note in the Item record after the piece is sent to the location. This can’t be done by TS due to the number of staff and students across several dept. doing cataloging. However, requestors can add an Internal Note when creating an ORT or GOBI request, which can be viewed by locations until the order is archived.

Future Orders, ORTs, GOBI Selections.   Subject specialists can use the new location codes effective immediately (As of Aug. 2nd) for all monograph, continuation, and periodical requests, so items are directed correctly to either Ackerman (stacks) or Sullivant (reference).

Sublocation codes.   Order and checkin records use only a 3-letter location code. When cataloging, the default Item record sublocation is "s" for Ackerman stacks and "r" for THO Sullivant reference. Location staff can change the default sublocation, as needed, after the piece is sent to the location.
