Printing the First Page of a Letter
to Letterhead Stationery
in MS Word


Use this procedure to print only the first page of your letter/document on University Libraries' letterhead stationery, and to print any other pages on blank matching stationery. (Click here for istructions on how to print all pages of your letter/document on letterhead stationery.)

  1. Open your letter/document in MS Word.

  2. Look at page one of your document in "Print layout" view: On the "View" drop-down menu at the top of your screen, click on "Print layout" if it is not already selected. (If the print looks too small in Print Layout view, you may want to go to the toolbar near the top of your screen and increase the % size number ["Zoom" percentage] to 100%.)

  3. Display ruler: If the ruler is not displayed down the left side of your screen (you may have to click somewhere within page one to get it to appear), go to the "View" drop-down menu at the top of your screen, and click on "Ruler".

  4. Set top margin(s): The pre-printed header on the University Libraries' letterhead stationery ends 2 1/8" from the top of the page. So to create a 2 1/2" (or larger) top margin, place your cursor at the top left of your document, and then:

    1. On the ruler at the left of your screen, hover your cursor over the top of the white part until a double headed arrow and the words "Top margin" appear. Left click and drag that margin down (you'll see a dotted line appear in your document showing the margin moving) until the gray part of the ruler is one notch over 2 1/2" long. (The extra notch is to allow for the height of the text that will sit on that extra line.) When you release your finger from your mouse, the top margin in all pages of your document is set so that the top of your first line of text will be about 2 1/2" down from the letterhead.

    2. Change the top margins on all of the rest of the pages back to the default 1" (since you're not going to print these pages on letterhead paper):

      • Place your cursor in the upper left corner of page two and drag to select all of the rest of your document.

      • On the "File" menu at the top of the screen, select "Page setup", and click on the "Margins" tab.

      • In the box for "Top:", decrease the top margin back to the 1" default.

      • In the "Apply to" box on the right, choose from the drop-down menu "Selected text".

      • Click "OK". A "Section Break (Next Page)" will appear at the end of your first page, which now has the 2 1/2" margin, while the rest of the pages will have gone back to the default 1" margin. From now on, when you print this document, it should print with these top margins.(This method may be best used when you are finished editing page one. That's because if you add enough text to page one to make the Section Break at its bottom jump to page two, then page two will automatically have a 2 1/2" margin like page one.)

  5. Print:

    • On the "File" drop-down menu, click on "Print". In the resulting box, after making sure that the correct printer is selected, click on the "Properties" button.

    • Click on "Paper quality" tab, and under "Paper source" select "Tray 2" from the drop-down menu. (Note: After you finish printing this document, you may need to go back into this box and change the "Paper source" back to "Automatically select" so that it will not continue to print from Tray 2.)

    • Click "OK" at the bottom of that box, leaving the "Print" dialog box open.

    • Go to the printer and place your stationery in Tray 2.

      Since you are printing only page-one of your letter on letterhead paper, and subsequent pages on non-letterhead paper, you will need to load Tray 2 as follows:
      All sheets should be face down, top toward you, with the letterhead sheet on the top of your stack, and plain stationery underneath it (paper is pulled from the top of the tray, so page one of your letter will be pulled from the top of the stack).

      Request any needed stationery-quality paper (letterhead and/or plain) from SRI's Documentation & Training Section staff. (This paper is kept in the bottom drawer of the 2-drawer gray file cabinet by the main phone.)

      If you load more sheets than your letter uses, please remove any extra sheets from Tray 2 when you are finished printing.

    • Return to your computer and click "OK" in your printer dialog box to print your letter.
