Printing All Pages of a Letter
to Letterhead Stationery
in MS Word



Use this procedure to print all pages of your letter/document on University Libraries' letterhead stationery (i.e., you want every page of your document to print on paper that has the letterhead at the top). (Click here for istructions on how to print only the first page of your letter/document on letterhead stationery.)


  1. Open your letter/document in MS Word.

  2. Look at page one of your document in "Print layout" view: On the "View" drop-down menu at the top of your screen, click on "Print layout" if it is not already selected. (If the print looks too small in Print Layout view, you may want to go to the toolbar near the top of your screen and increase the % size number ["Zoom" percentage] to 100%.)

  3. Display ruler: If the ruler is not displayed down the left side of your screen (you may have to click somewhere in page one to get it to appear), go to the "View" drop-down menu at the top of your screen, and click on "Ruler".

  4. Set top margin(s): The pre-printed header on the University Libraries' letterhead stationery ends 2 1/8" from the top of the page. So to create a 2 1/2" (or larger) top margin:

    1. Click in the uppermost left corner of your screen to position your cursor there. Note that at the bottom of the screen in the box immediately to the right of the box that tells what page your cursor is on, it tells you how big your top margin is, e.g., if your top margin is 1", it says:  At 1".

    2. On the ruler at the left of your screen, hover your pointer over the top edge of the white part until a double headed arrow and the words "Top margin" appear. Left click and drag that margin down (you'll see a dotted line appear in your document showing the margin moving) until the gray part of the ruler is one notch over 2 1/2" long (or if you can't see the notches on your ruler, drag until the bottom of the screen says: At  2.6".). (The extra notch is to allow for the height of the text that will sit on that top line.) When you release your finger from your mouse, the top margin in all pages of your document is set so that the top of your first line of text will be about 2 1/2" down from the letterhead.

  5. Print:

    • On the "File" drop-down menu, click on "Print". In the resulting box, after making sure that the correct printer is selected, click on the "Properties" button.

    • Click on "Paper quality" tab, and under "Paper source" select "Tray 2" from the drop-down menu. (Note: After you finish printing this document, you may need to go back into this box and change the "Paper source" back to "Automatically select" so that it will not continue to print from Tray 2.)

    • Click "OK" at the bottom of that box, leaving the "Print" dialog box open.

    • Go to the printer and place letterhead stationery on top of the stack in Tray 2 (paper is pulled from the top of the tray), face down, top toward you.
    • Please also note: If you find that you've loaded more letterhead sheets than you needed, please remove the extra sheets from Tray 2 so that the next person to print to Tray 2 will not print on letterhead paper when expecting plain paper.

    • Return to your computer and click "OK" in your printer dialog box.
