Document: Creating new bibliographic records for printings of literary works (e.g., novels, thesis replacement)

Problem statement:

According to current OSUL practice, the date in the call number is usually taken from the copyright date rather than the imprint date, except for literary works (or belles letters, such as novels) and some photocopies. In belles letters, the imprint date is to be used in the call number in all cases, for collected works as well as for individual titles.

Various ways in which this use of the imprint date has been accomplished:

  1. Make a new record in OCLC for each printing of a literary work and export it to OSCAR/Felix. OCLC regards these records as duplicates and does not want us doing them.

  2. Make the changes to an existing OCLC record (e.g., change the printing date) and export to OSCAR/Felix. This solves the duplicate problem on OCLC but means duplicate OCLC numbers on OSCAR/Felix. Felix prints this out as a problem.

  3. Make local note on existing bib record about a different printing. Attach item record with different call number for the different date of printing. Thus, two printings share the same OCLC number but call numbers are different.


Recommendations:

The Technical Service Committee (TSC) members approved to apply option "C": Make local note on existing bib record about a different printing. Attach item record with different call number for the different date of printing. Thus, two printings share same OCLC number but call numbers are different.

The note will be in 590 local field note. For example:
590 OSU’s copy 2 1976, c1970.
590 OSU’s thesis replacement copy 2003.
