Collection Size and Renovation Planning
Revised February 13, 2001

Main Library Collection Size
As the Libraries plan for the renovation of the Main Library, a key question is "what should the physical collection of the Main Library be?" What individual collections should reside in the building? What is the appropriate size of the collection in this building?
These are the first and most important questions as we begin to plan for the renovation of the Library.
Current Main Library Collection Size
Current collection size estimate for Main Library - 2,002,583 (as of June 22, 1999)
Total excluding MIC = 1,713,953
Stacks estimate = 1,544,239
2,026,251 (as of June 15, 2000)
Total excluding MIC = 1,727,814
Stacks estimate = 1,546,492
Annual Growth Rate
Growth rate (print only for Main Stacks)
FY98 to FY99 = -0.66%
FY99 to FY00 = +0.15%
Conclusion - the Main Library is already in a zero growth stance but new additions total about 40,000 volumes a year.
Collection Size Scenarios
In order to make more room for people, study space and other activities in the Library, possible scenarios must be considered for permanent removal of material from Main Library. Possible scenarios include:
250,000 volumes (12.5% reduction in size)
500,000 volumes (25% reduction in size)
750,000 volumes (37.5% reduction in size)
1,000,000 volumes (50% reduction in size)
Number of volumes added annually to Main Library - estimate = 40,000
Possible construction date start - 7/1/05
4 years x 40,000 = 160,000 additional volumes
With the addition of the annual growth rate added, possible scenarios are:
410,000 volumes
660,000 volumes
910,000 volumes
1,160,000 volumes
Depository Status
Estimated storage space remaining as of 2/1/01 - 100,000-125,000
Projected availability of second module - December 2001/January 2002
Capacity of second module - 1,500,000
Total capacity available - 1,600,000 - 1,625,000
Other demands on Depository space
| Vet Med- | move-in estimated May 2002 | -10,000-15,000 volumes to be stored
will have to move material to storage in order to fit into new facility |
| Architecture- | very tentative, 2003 | -5,000 volumes to be stored |
| AICPA collection- | | -possible acquisition which would require storage |
|
Selection and Transfer to Storage Processes
Depository staff processing capacity - 20,000 per month
Collection Management Team processing capacity - unknown
Activities that must occur (some handled by CM Team; others impact other units such as technical services, preservation, IT)
includes:
selection by collection managers
preservation
barcoding
bib record maintenance or cataloging
Lib Has maintenance
withdrawals
binding
analytics
boolean and Excel file construction
Current process - item-by-item selection by collection manager
significant activity by Main Library collection managers
unknown level of activity by Departmental Libraries

Scenarios
|
Possible construction date start - 7/1/05 - 53 months from 2/1/01
February 1, 2001 through January 30, 2002
processing capacity = 240,000 volumes
space capacity = 125,000
next twelve months - transfer 125,000 volumes
2/1/02 through 7/1/05 - 41 months remaining
Assuming that 125,000 volumes were removed by 1/30/02:
285,000 volumes divided by 20,000 per month = 14.25 months
535,000 volumes divided by 20,000 per month = 26.75 months
785,000 volumes divided by 20,000 per month = 39.25 months
1,035,000 volumes divided by 20,000 per month = 51.75 months

Questions
- Are we making a mistake to be focusing on item by item selection?
- Should we focus on making a number of macro level decisions such as storage based on imprint date and/or circulation history? For example should all pre-1900 imprints to be moved? (Estimated 52,000 pre-1901 volumes in Main Library)
- Should we freeze transfers to STX from any libraries other than Main and Vet Med until the new depository module is available?
- Should we change our policy to allow collection managers to send newly acquired material (gifts and purchases) directly to STX on receipt?
- Will we need to lease interim space for storage?
- Will we need to set priorities even within Main Library for transfer?
- Will the increase in stored material have an impact on the workload and delivery scenarios for the current Depository staff?
