The following guidelines are specific to the
ACQ work flow. The
General Copy Cataloging Guidelines are intended for use by OSUL, HEA and LAW.
ACQ and CATALOGING Dept. areas of coverage
ACQ will copy catalog English, French, and Spanish language monographs (print format) that have a good LC call number, at least one LC subject heading, and the required added entries in the copy. Records used may include LC and member copy.
If there is any complication or doubt about the piece, forward to the Cataloging Department.
Added volumes and duplicates for any language may be added in ACQ, as long as there are no complications (e.g. diacritics to be added in Contents Notes; piece represents multiple volumes within a series, etc.)
If record downloaded at point of order needs substantial editing, search for better or more recent copy on OCLC before spending time to revise existing record. If records on OCLC still lack essential data, send to Cataloging so they can upgrade the OCLC record.
If it is necessary to edit an indexed field in OSCAR, make a printout, highlight the indexed field changed, and give printout to Noelle (CAT) to upgrade OCLC record. If you have questions about when this applies, ask your supervisor.
The following fields are indexed in OSCAR and must be present and accurate for copy to be completed in ACQ:

The following fields must be checked and accurate.
Indexed Fields:
020
ISBN
- Can have more than one; one ISBN must match piece
- Add if it is not in OCLC record but is on the piece
- Ending x should be capitalized X
024 3
ISBN 13-digit
- Add if it is not in OCLC record but is on the piece
- Do not add 13-digit if only location is in UPC barcode
040 Cataloging Source
050 and 090 LC Call Number
- Do not delete from the record. All bibs must have a call number
- When adding an 090, delete only one of the 050 fields that exist in the record
- Accept or key local call number in 090 field
- Date: for non-fiction, use copyright date; for literature, use printing date
- Adjust classes M, N, and P to fit the OSCAR shelflist according to OSUL local practice
- Catalog "Z" bibliographies using subject call # (not Z)
[If there is no subject call no., forward piece to CAT]
Note: When adjusting call numbers to keep added editions together, update the date only—retain previous call number even if it contains old local practice (Example: 3 cutters).
Forward all the following to CAT—even if copy is available:
- 050 and 090 call numbers:
- All conferences or proceedings
- 050 ends in a volume number
- Non-LC call number (Ex: LD41735 Music AV)
1xx Authors
- Correct typographical errors (e.g. spelling, punctuation)
240 Uniform Title
- Forward all uniform titles to CAT

Title and Subtitle ($b)

Edition
- Check that edition is present in the record; check OSCAR to catalog with earlier editions
Forward to CAT if problem exists cuttering subsequent editions. Example: title has changed since last edition.

- is present and matches the book (place, publisher, printing and/or copyright date)
- Correct or add #b
- Adjust date $c if appropriate (e.g for CIP record)
- Update printing date $c if all else matches; update fixed field date to match 260

Series
- Check that series is present in the record
- 8xx is present and matches the book
Forward to CAT:
- If series is not in the record and must be added
- Piece represents more than one volume in a series
- Piece is part of several different series
- Contains series within a series
- If unsure about any series question
Examples:
440 check no. of skip characters = matches what is needed
490 1 edit only for obvious typos (e.g. spelling) or missing subfield $v
800 or 810 $t edit only for obvious typos (e.g. spelling) or missing subfield $v
830 edit only for obvious typos (e.g. spelling) or missing subfield $v
5xx Notes
504 Bibliography note
- Do not change or delete any bibliographical notes on copy.
505 Content notes:
- Do not delete any content notes
- Update content notes for added volumes in a set
- For added volumes, add notes per guidelines:
Forward to CAT if piece is a photocopy or reproduction.

URL
- Do not delete any URLs
- URLS will be checked by CAT periodically to verify they are still active
6xx
LC subject headings
- Do not delete any 6xx from the records
- Non-fiction titles must have at least one subject heading
- Forward copy to CAT, if any of the subject headings are tagged:
- 653-658, 690-691, or
- 2nd indicator has a value other than 0
Ex: 2 NLM subjects
3 NAL subjects
5 NLC subjects
7xx Added entries
- Correct typographical errors (e.g. spelling, punctuation)
Forward to CAT if added access points need to be added to the record. Ex: 246, 740, and 700$t for added spine titles, abbreviations that need to be spelled out, author/title entries, individual title entries for a multi-volume set, etc.
9XX
