ITYPE in the item record is one value that determines loan rules. Other elements are LOCATION and STATUS, plus patron type. Inconsistent ITYPE results in inconsistent lending rules for both OSU patrons and via OhioLINK pcirc. It also causes confusion during processing if it is not clear what value is standard and, if different, when it should be changed. A standard ITYPE for analytics should be determined and documented.


DEFINITIONS & BACKGROUND

An analytic is a monographic work that is issued as part of a series (serial) and for which the following cataloging treatment is given:

  1. A fully cataloged SERIAL record is available; multiple serial bibs exist in cases of title changes. A single call number is assigned and is shared by all volumes. A check-in record includes a LIB HAS statement.

  2. A fully cataloged MONOGRAPHIC record is available for each volume, which is equivalent to a ‘book.’ The monographic item record is attached (‘primary link’) to the monographic bib and then linked back to the serial bib.

  3. For printed material, the default ITYPE assigned to analytics during current cataloging is 0 (zero) and allows the volume to be circulated under the same conditions as a ‘book;’ OhioLINK ‘pcirc’ is allowed (depending on the other values, LOCATION and STATUS, that are used in the loan rules to control circulation).

  4. For OSUL, circulation of serial volumes typically is more limited than for books. ITYPE=1 for most locations except MAI and ITYPE=11 for MAIS. These values result in shorter loan periods for OSU patrons and, for non-OSU OhioLINK patrons, a circulation restriction and STATUS message of "LOCAL USE ONLY."

  5. Many analytic volumes transferred to the Depository (STX1) have ITYPE=1; some have 11 if they came from MAIS. When analytic retrocon work is done, the ITYPE might or might not be changed to 0. For machine retrocon, no change would have been made in the item record. If manually done, the cataloger might or might not be aware of the significance of ITYPE and might or might not have changed it. For transfers to STX on which analytic work is completed, no change is being made to ITYPE


PROBLEMS

  1. There is inconsistency in coding of ITYPE for analytics. Older volumes might have ITYPE=1 (or 11 if MAI) while more recently added volumes have ITYPE=0. This may be the case between titles (one title has value 1, one has value 0) or even within a single title (some volumes have 1, some have 0).

  2. There is inconsistency in circulatability of analytics. Analytic volumes that have the ITYPE=1 or 11 result a limited loan period for OSU patrons and no OhioLINK pcirc is permitted. Those with ITYPE=0 circulate like books.

  3. In addition, at OhioLINK, the check-in record LIB HAS displays with a message that there is restricted circulation due to its ‘seriality.’ This is inconsistent with the message displayed for each volume that is coded as a book


RECOMMENDATIONS

  1. All print analytics should be treated the same as monographs (books) with individual bibliographic records. They should circulate like books and all should be coded ITYPE=0. Circulation limitations may be imposed by item LOCATION and/or STATUS. Non-print analytics use a format ITYPE (e.g. 20 or 16). Define ITYPE=0 as printed monograph.

  2. An evaluation should be made of the display associated with LIB HAS. Can a different message be displayed so that the inconsistency between the serial record and the associated monographic records be eliminate?

  3. All analytic volumes currently in STX or being transferred to STX should have ITYPE=0. Circulation restriction will occur only by patron type, sublocation and/or status.
  4. Formats other than printed are coded accordingly: ITYPE=16 for online, 20 for circulating microform, etc. This non-print value is assigned regardless of whether the piece is received as a serial or monograph.
