Special Collections Cataloging Department
Quarterly Report: April - June 2008

CGA

Pat created collection level records for CGA, as well as updating some records to reflect new links. Mary and the comic book catalogers produced records for these materials. Significant streamlining has been done to the workflow for the manga collection, which should result in higher productivity and the need for less interpretation on the part of cataloging staff.

CHA

Joan, Nataliya, and Mary cataloged material for the project, including creating NACO authority records and upgrading material for BIBCO.

HIL

Nataliya begun cataloging material from the Sofronov collection that was being added to other special collections. She also began adding vernacular characters for all Cyrillic languages in both original and upgraded OCLC records. This is a huge contribution to providing access to these materials in their original language, instead of relying on transliteration for retrieval.

Nataliya, Pred, and Beth met to evaluate backlogs and projects in preparation for the move back to the Thompson library.

RARE

Pat cataloged material from the Tarver collection, including bibliographically complex records for multiple editions, printings, etc. Anca also cataloged material from this high priority collection. Pat also created collection-level records for Avant Writing materials.

Beth continued to work with Rebecca Jewett to identify materials in the catalog which are not actually held by Rare Books and Manuscripts. “Phantom” records from the Early Paperback Collection were identified and removed.

TRI

Joan cataloged material from the collections of Robert Breen, Twyla Tharp, and Irwin Spector. She also cataloged some honor theses, created several collection level records, and created item records for magazines in preparation for the move. She also helped train student assistants to add item records as part of this initiative.

Anca worked on uncataloged and un-barcoded collections, of which there are many. She cataloged four large collections, creating extensive collection level records on both OCLC and OSCAR, adding item records on OSCAR and barcoding the boxes. She also continued to catalog new materials (mostly scripts) which are additions to collections such as the International Centre for Women Playwrights Collection and Eilleen Heckart Drama for Senior Competition collection

Collection Management System (CMS)

The first component database to be migrated to PastPerfect was completed and is live for users. Morag attended a 3-day training session in May, and also supervised an independent study student, Emily Fargo, who created some documentation for this system.

EAD

Morag registered special collections and uploaded legacy finding aids into the new EAD FACTORy, the OhioLINK Finding Aid repository. This marks the culmination of several years’ work to create a statewide, searchable repository of finding aids that will provide access to native EAD for OSU collections. Morag will be working with curators and collections staff to determine workflows for new finding aids and to develop priorities for legacy finding aids.

Professional Development

The entire department attended a refresher on creating and editing NACO authority records led by personnel from the Cataloging Department.

Morag attended several professional meetings including the Society of Ohio Archivists, ALAO TEDSIG, and the NASIG Annual Conference. She also presented an instruction session of the ALCTS online course "Fundamentals of Acquisitions" and a session at the Ohio Library Council Technical Services Retreat in April.

Beth and Morag participated in a variety of meetings, sessions, and programs at the American Library Association Annual Conference in Anaheim.
