Collections Advisory Council
Meeting Summary
December 19, 2002

Present: Carol Diedrichs, Mel Ankeny, Nancy Courtney, Bruce Leach, Maureen Donovan, Penny Pearson, Mary Jo Arnold, Lynda Hartel, Susan Wyngaard

Guests: Pat McCandless, Trisha Davis

  1. Pat McCandless introduced the most recent edition of the Pre 1900 document for CAC review. CAC approved the document, which will now be revised and shared with collection managers. Because little of the pre-1900 material in Main is actually "rare" it will be transferred from Main stacks to STX 1. Collection managers will have the option of specifying STX 3 for specific items deemed rare.

  2. Carol Diedrichs noted that the OhioLINK capital budget has been approved with a 7.6% reduction. OhioLINK had planned for this level of reduction and it is not expected to have significant consequences on current capital (one-time) commitments. Expected reductions in next year's operating budget will mean possible new database cuts (or new costs being moved to our budget from OhioLINK).

  3. OSUL does not anticipate having to give back money to the University this year, although we are asked to save 4% for this purpose "just in case." Carol will put out a call to collection managers in early January for one-time funding purchase nominations, with the idea that if we have not had to return this 4% by late in the fiscal year the funds can be used to acquire the one-time funding requests.

  4. Trisha Davis provided two handouts to facilitate planning for another possible round of serial continuation cancellations. At this point we do not know if we will need another cancellation project, but we need to plan for it in case it becomes necessary as the year progresses. On or near to January 15th S/ER will provide spreadsheets to each collection manager, with CM's nominations for cancellation required by February 28th. From March 1-31 S/ER will reconcile dollar amounts so that titles slated to be cut can be revised as needed. From April 1-15th collection managers will review other's cancellation priorities. This information will then be ready if cancels are required to balance the budget. S/ER will not accept any new continuation orders after February 15th in order to complete this project. Carol Diedrichs will attend the public services meeting on 1/21/03 from 9:30 to 11:30 to discuss the serials cancellation project.

  5. Trisha Davis provided two handouts and discussed a trial project of checking and correcting URLs in catalog records. Blake Carver created a program that identifies broken URL links. S/ER examined the serials ones and subsequently corrected, deleted, or took other appropriate action. This test was very encouraging, and S/ER will try to do this on a quarterly basis. Trisha Davis agreed to periodically send collection managers a list of dead URLs. Maureen Donovan brought up the question of enhancing OCLC records as part of this project, and Carol Diedrichs noted that this is not just a local issue and needs to be a discussion item at OCLC.

  6. Ted Riedinger had earlier raised the question of cancellation of print copies of JSTOR titles, and whether we should use any new strategies to make these titles available to users. After discussion, it seemed that our current practices and timely handling in ILL are working. CAC did not feel that further action was warranted.

  7. The CAC January 16th meeting has been cancelled. The next CAC meeting will be held on February 13.

Respecfully submitted
Susan Wyngaard
