After considerable discussion it was agreed that of the three options presented by Nancy, number one was favored by group consensus. This option calls for two five year "buckets," namely 2011-2015, and 2005-2010. Nancy explains: "Add the value of those fields and subtract that total from the value in the TOT CHKOUT field to produce the number of times an item circulated between 1994 and 2004."
Marsha explained that JSTOR Arts & Sciences I titles have been reviewed by collection managers and are now being withdrawn. Miscellaneous volumes as requested will be sent to Regionals, JSTOR, and CRL. The JSTOR A&S II review is finished and those will be withdrawn next, with the exception of three titles retained for visual content. Pending decisions on OhioLINK's project to potentially retain two copies of JSTOR titles in the state, OSUL's withdrawn JSTOR volumes are being stored temporarily at ACK in case any of our volumes will be needed to fill gaps at other OhioLINK libraries.
Some of the titles for which we receive back file access through JSTOR have print subscriptions for the current issues. As these titles come up for renewal, these titles will be switched to online only when that option is available. The switch to online only will be the default, however each title will be considered on a case by case basis. The overall intention of the Libraries is to move away from paper which will reduce the costs associated with handling print and provide more electronic access for our authorized users.
Marsha advised that collection managers need to be spending their funds. Special focus was brought on the need to be using endowment funds whenever possible. She reviewed that the University requires documentation to explain why each and every endowment fund is not experiencing use. Managers are expected to fully utilize their funds.
We need to increase our electronic footprint by at least ten percent in order to meet our Libraries strategic plans for the year. When adding new titles the online option should be the first choice. This approach is in keeping with what our clients are seeking, and will assist in dealing with our continuing space challenges.
Jose Diaz has agreed to be the Interim Latin American Studies and Spanish and Portuguese Librarian. Jose has assisted with these areas in the past, and we welcome him into our Forum.
John Magill, OhioLINK Interim Director, is in the process of renewing all of the contracts with various vendors and publishers.
Related to the renewals has been the consideration of how OhioLINK will respond to a potential negative adjustment in state funding for the organization. The various options for addressing such a possibility have been part of discussions at each of the last two CIRM meetings, and will continue into January. All state agencies were required to submit two budgets, one at 100 percent funding and one at 90 percent funding. If the current projected state of Ohio shortfall of $8 billion is divided out equally among all state agencies the cut per unit would be sixteen percent.
Contingency thinking involves reevaluating the current resources, and determining areas of focus that should be retained, and areas where changes might be deemed acceptable. At the moment all of considerations are hypothetical.
Tony Maniaci requested that the CMF Chair remind collection managers that the moratorium on sending items to the Book Depository also extends to new items. Namely, no new item should be ordered with STX as the location. If the collection manager is in the Thompson Library THO should be the location used. We will process all new items for the Thompson Library, and only then determine if remote storage is necessary.
