  1. ORTs: Access via Millennium (Deidra Herring)

    Deidra went over a crib sheet distributed at the meeting, which will serve as a reminder to collection managers on how to pull up their fund activity reports via Millennium.
    • Note the layers of displays in Millennium
    • Upon log-in in funds mode Millennium comes up with all funds listed to the left
    • Note the tabs available when viewing a single fund
    • To view a report for all of your funds scroll down on the left the the to the hierarchies and select by collection manager name

    NOTE:  *ORT workshops will be continued later, as some revisions are still needed

    Changes to saved ORT? - just call MOD


  2. Serial Prioritization (Trisha Davis)

    • Time to do annual review of spreadsheets (in the J: space)
    • CAC will be looking at combined funds
    • Looking at fund reports:
      Remember difference between Free balance/cash balance. Cash balance does not consider encumbered amounts.
    • For annual review:
         - Look at what is encumbered, not yet paid
         - Consider cancellations, etc.; what won't be paid this year
    • "TF" label = titles transferred from one fund over to yours
    • Average inflation this past year was about 6%
    • Cancellations:   CM to be informed after the fact (so have the spreadsheet ready by 5/17)
    • May 24th = Last date for any activity for continuations for this FY
    • E-prices will be updated after May 24th:
         - If your encumbrances with new e-prices go above allocations S/ER will cancel as prioritized on your spreadsheet
         - Column on the spreadsheet called "scratch pad" for recording notes
    • Cancellation goal:
         - Will cancel down so that titles only total 95% of your allocation
    • Next FY:
         - You will have cash carry forward (amount not yet paid)
         - Plus the annual allocation
    • Databases:
         - Usage statistics available as aid in decision-making
         - Contact Penny


    • E-prices - question/concern:
         Q: Mono-sets could come sporadically; what if lots come in?
         A: Can request adjustment on encumbrances


  3. New Electronic Resource Order Forms (Celeste Feather)

    • Three forms now:
         a)Trial   b)Order   c)Free

      • Trial Request Form
           - Fund code no longer needed
      • Order Form & Free Form
           - Indicate whether it should be in database list
           - Link to subject headings (very helpful if you select the terms)
      • Free Form
           - Asks for fund code, but will not automatically switch to paid if free access expires
           - Fund goes in the order, helps collection manager to pull up all titles related to a fund
    • Forms Recipients
         - Streamlined who receives them
            Jim & Trisha not receiving any directly
            Celeste receives all of them
            Mike, Penny or Farrell will receive others, as appropriate


  4. Knowledge Bank (Tom Cetwinski)

    • New Groups/Collections
         - Department of History:
            "Vida Femenina" - longer run than held anywhere else
         - American Indian Studies at OSU
         - Now up to about 6000 items
    • Question/Concern:
      How to determine what should be cataloged in addition to being put in the Knowledge Bank with that metadata?
            Ideal - to find some search mechanism that accesses both vs cataloging titles twice
            Suggestion - have collection managers evaluate and recommend cataloging something (can subscribe to list to be alerted to what has been added)


  5. Copyright (Trisha Davis)

    • Trisha to spend approx. 50% of her time this next year on copyright, as noted in a recent announcement
    • Copyright web site to be developed, primarily answering FAQs
    • Brochure distributed at the meeting, designed to inform faculty about basic copyright rights. Contact Trisha to request some.
    • Generic e-mail address to be available for questions
    • A lot of projects coming up, dealing with copyright
         Education needed on many topics around campus
            - reserves
            - course packs
            - Carmen
    • OhioLINK also currently has a copyright committee, which Trisha will sit on.
      Working on an OhioLINK document with a recommended "Author's Addendum"
    • Scholarly Publishing Institute
      This summer in CA, sponsered by ACRL & ARL. Trisha Davis, Tschera Connell,and Kathy Dean will attend.
  6. CIC Draft Document on Scholarly Communication

    • Goal - to see more faculty retaining their own rights
    • Goal - more faculty to publish in open access journals
    • Goal - have 50% of faculty understand:
      1. retaining their rights
      2. what open access titles are
    • Goal - to raise money to initiate some open access journals
