Accompanying Materials (Marty Jamison and Wes Boomgaarden)

Proposal: leave disks in the books

  • currently few accompanying items are magnetic media precedent in the handling of maps
  • would be coded to remind CIRC staff to "check for parts"
  • CAT would handle differently when cataloging and building item records
CIRC/OhioLINK issues
  • some locations never send CDs, yet the record prompts CIRC staff to look; never sure whether it should be there or not
  • other OhioLINK locations envy OSU because we handle the accompanying materials separately
Other questions/ideas
  • Just for books? Or serials too? (books only)
  • Suggestion: change volume identifiers instead, to be much clearer (See MUS for examples)
  • Note: sometimes CD is just an e-copy of the book, not always exceptional material


Retaining Book Dust Jackets (Wes Boomgaarden)

Proposal: Retain first for the general collection

  • estimated 17% of monographs are HB w/ covers
  • cost would be approx. $1.00 per volume for materials and labor
Benefits:
  • books hold up longer
  • info on jacket not always available within the book
Issues/Questions:
  • Tech Services would need to barcode the dust jacket when building the item record
  • would require more property stamping
  • questions: how much longer for turnaround time?
  • concern: might cover up some book plates or other useful info inside the front cover
  • questions: could there be exceptions for really expensive materials
  • goal: to mainstream handling of new materials; will have to consider how to handle exceptions


Acquisitions Budget (Jim Bracken)

  • See presentation
  • Bottom line - budget in good shape because of practices implemented this year
  • Acquisitions budget is roughly the same as last year
    Serials - 65%, Monographs - 26%, Inflation - 9%
    roughly on target for our goal of 70/30
  • Jim has accrued $500,000 for when OSU asks for a percentage back (always a possibility)
  • not anticipating the need for a serials cancellation project


Monographs Acquisitions (Marsha Hamilton)

"1" fund status as of 10/18/05

  • previous recommendation from Marsha: break amount down by months in order to stay on track and make the funds last through the year (so as to avoid running low in March)
  • at this point should have committed approx. 35% in keeping with this goal
  • list distributed indicates those funds already over 50%
  • suggestion: perhaps put GOBI2 titles in a folder for consideration later
  • note: most of Penny's fund has gone to videos/DVDs for closed reserves; so don't send requests her way, she can't afford them

Paperbacks

  • Question - OK to order paperbacks, since they are cheaper? Wes answered that there is no longer such a concern about paper quality with paperbacks; however, he also stated that library binding is a bargain.
  • Current binding policy - Main stacks items are sent out for binding after the first circulation (Other locs send to the bindery as desired).
  • Current ordering policy - MOD will order HBs unless told by the collection manager that PBs are acceptable. Those present indicated by "straw vote" that the current ordering policy should stay in place. Those who want PBs will need to specify this in their order

Millennium Acquisitions

  • Millennium 2005 to be implemented this December
  • Acquisitions functions will no longer be available via Telnet; Tech Services to move to Millennium, ORTs to be done via Millennium as well
  • all who do ORTs must attend training sessions (CMs, staff, student employees)
  • training schedule to be announced (expect to attend in November); contact Deidra Herring if unable to attend one of the workshops
    (NOTE: ORT training in Nov/Dec was postponded due to a glitch in Millennium. New training dates will be announced after January if the system problem is resolved.)


Serials Budget (Trisha Davis)

  • new spreadsheet sent out recently listing increases of 10% or more; be sure to look at these
  • order records are included on the list - take a look at the payment history
  • major price change information not available until the beginning of January


IFLA Conference (Graham Walden)

Intro (Jim Bracken)

  • a number of institutional memberships cost us money (OhioLINK, CIC, ARL, ACRL, Digital Library Federation, ...)
  • need to periodically evaluate these memberships and ascertain what the benefit of membership is for OSUL
  • Graham Walden attended IFLA conference on behalf of OSU Libraries in order to determine the value of our membership

General Info

  • International Federation of Library Associations - 1700 members, 150 countries
  • conference lasts 8 days (see program); includes a grand opening session and a large number of poster sessions, which are generally more significant than those offered at ALA, but are only left up for 2 hours
  • each nation/language has its own caucus
  • best papers are published in the IFLA Journal; others may be found on the web site
  • Voting rights were at one time reserved to those present at the conference (tending to favor the wealthy who could attend). This is no longer the case; any member can vote, whether in attendance or not. This has resulted in fewer Americans being elected to positions.

Is IFLA membership worthwhile?

  • Graham felt it is worthwhile
  • lots of opportunities to present papers
  • valuable for collection manager representing a particular geographic location and culture
  • comment from Tschera Connell: IFLA very important for development of international standards for Technical Services
