AGENDA
COLLECTION MANAGERS' FORUM
February 16, 2005
122 Main Library, 10:30-12:00

The agenda is totally related to continuing implementation of the "Materials Budget Adjustment Strategy" described in the Collection Advisory Council annual report which was discussed at the recent Faculty meeting. It really does describe the "roadmap in 2004" and 2005 that is bringing us together on 2.16.05.

  • THE SPREADSHEETS:

Discussion of reassignment of centrally-funded serial titles to specific collection managers and subject groups of collection managers.

It is imperative that individual collection managers and the subject groups (you guessed it!) re-prioritize 100% of your serials titles. CAC struggled with this task for 6 months, discovering that it could not do what needed to be done without greater collection manager input. Check the CAC minutes to see how homeric this work was! Essentially, your colleagues on CAC reviewed all the titles on eight funds --- gen, hum, hss, int, ips, iss, lrn, and und -- giving them to you individually or to four groups representing the humanities, social sciences, and sciences, with only the toughest titles remaining with CAC. We should now be able to prioritize all of OSUL's serials to deal more effectively in the context of continuing flat (or reduced) materials budgets.

  • THE DISCIPLINE GROUPS:

Discussion of the leadership and responsibilities of the subject groups of collection managers related to (a) THE SPREADSHEETS; and (b) any eventual funding reallocation.

On 26 January Bracken advised you that CAC was setting up subject groups of collection managers (every one of you!) under the leadership/convener-ship of several CAC members to help make decisions about multi-disciplinary serials that are presently centrally-funded (and more). Groups and leaders are General Humanities -- Marti Alt and Geoff Smith; General Social Sciences -- Jennifer Kuehn and Graham Walden; and General Sciences -- Jose Diaz and Mary Scott. These very brave CAC members should be prepared to answer some questions and start organizing.

  • THE SUB-COMMITTEE:

Discussion of the responsibilities of a sub-committee charged to to gather information on funding formulas. On 24 January 2005 Bracken issued an open call for volunteers to form an sub-committee of CAC charged as follows:

    1. Review and summarize the library literature on materials budget funding formulas
    2. Solicit information on monograph and overall subject funding models used by OSUL peer institutions
    3. Identify selected funding formulas for further review; contact libraries for details on:
      1. How formula and criteria were established
      2. Criteria, weights, or other systems used
      3. Implementation process
      4. Impact on specific subject areas
      5. Methods established for periodic review and adjustment
      6. What worked well; what didn’t
      7. What did they learn from the process

CAC-members Graham Walden and Jose Diaz agreed to lead the effort and report findings to CAC by 31 May 2005. Volunteers include Sarah Murphy, Danny Dotson, Bruce Leach, Leta Hendricks, Miriam Conteh-Morgan, Ted Riedinger, and Eleanor Block. Graham and Jose should be prepared to answer some questions, too.
