Procedures for De-Duping STX1
Beginning June 1, STX1 holdings will be de-duped in accordance with established policies (see Selecting Library Materials for Remote Storage at http://library.osu.edu/staff/techservices/storageguidelines03.php).
Phase One:
During the first phase, items unique to STX1 will be examined. In general, no more than two copies will be retained. All other copies will be withdrawn. This phase deals with items that are
only in STX1 and
nowhere else on the Columbus campus. Collection managers will not be asked to review these items.
Phase two:
Items in STX1 which also have holdings in one or more other locations on the Columbus campus will be examined. In general, no more than two copies in total will be kept. Items will be gathered by boolean searching and posted for collection managers to review. CMs will designate which copies are to be withdrawn.
CMs will review all titles which have more than one copy on the Columbus campus and asked to seriously consider whether we need to keep more than one copy. This phase deals with items that are in STX1, with additional copies in any other Columbus location, including HEA and LAW, but excluding all special collections locations and such locations as epg, chi, her, edm, etc.
Rationale:
Due to the renovation of Thompson Library there will be a net loss of over 850 library seats on the central campus. To compensate for this, we can rent non-campus facilities (Long's Bookstore, Brown Hall, Pomerene Hall), at a total cost of nearly $500,000 for three years. We would prefer to use this money to upgrade our current library facilities across campus, one aspect of which is to add more seats (not necessarily in the form of tables and chairs). To do this, we need to provide libraries with space in the Book Depository to transfer lesser used, unique items.
Secondly, we are moving out of Thompson Library a much larger collection of circulating items than will fit back into the renovated building. We will need to remove a further 400,000-500,000 volumes from the Thompson circulating collection; while not all of these will be transferred to the Book Depository, we will need room to transfer those items which are being retained.
Thirdly, we need to come to grips with our print collections in these days of consortial cooperation in collection development. Currently, collection managers who place an order request for a monograph which is available for borrowing at five other OhioLINK institutions are asked to reconsider their request.
Guidelines for de-duping STX
Monographs
- Maximum of two circulating copies on Columbus campus, unless otherwise noted in item records
- No more than two copies in STX1
Serials
- JSTOR titles – maximum of one print circulating copy on Columbus campus
- non-JSTOR titles – maximum of two print circulating copies on Columbus campus
Analyzed serials
- Follow rules for monographs
