Approved Volume Identifiers

Guidelines and policies

These guidelines apply system-wide, when adding or updating item record volume field.

  1. Identifiers are in English and use standard abbreviations.
    See English equivalents list below.
    Example: if piece is “Bd. 1” then volume identifier is “v.1”
    Example: if piece is “number 1” then volume identifier is “no.1”

  2. Identifiers are chosen from the prescribed list.
    New identifiers may be proposed to the Technical Services Committee.

  3. Identifiers are given in lower case letters followed by a period
    v.1, not V1 [retain old format unless editing item record for other work]
    Exception: A calendar month identifier should have the first letter capitalized.
    v.6Jan.-Mar.

  4. Omit spaces unless needed for clarity.
    Typically, no spaces should be input between numbers and letters.

    v.8Jan.pt.2
    no.6suppl.

    A space between letters is acceptable; always use commas between numbers.

    v.1,4                          = volumes 1 and 4 bound together, lacking volumes 2 and 3
    pt.1,6,8,12                 = parts 1,6,8,12 bound together, other parts lacking
    v.6pt.a index v.5      = v.6pt.a bound with index for volume 5

  5. A year may be used as a volume identifier (e.g.) for annuals).
    Input the year in the volume field. No abbreviation is used in front of the year.
    1999
    2000-01 [if this is what is on the piece]
    2000-2001 [if this is what is on the piece]

  6. When some pieces of a bound volume are missing, give specific issues or volumes; do not use the word 'incomplete' as part of the identifier.

    An explicit identifier allows users to determine if the volume contains the part they are seeking (especially important for remote users and volumes in the Depository). Old volume IDs following former policy using 'incomplete' may still exist, and may be evaluated and changed on an individual basis.

    v.1,4,6,8,12,15  NOT   v.1-15incomplete

  7. Old identifiers that might exist on items labeled before July 1, 1996, may be used in OSCAR by following the general guidelines.

  1. Cumulative index to multiple volumes bound as a single physical piece:

  2. Cumulative index to multiple volumes bound with a single volume as one physical piece:

    Call number field =   CD33|b.T56 Label: CD33
