Student Employee Guidelines

Responsibilities: Students may be expected to accept a variety of assignments. These may include but are not limited to office tasks such as working on a pc, filing, cleaning, checking reports, running errands to another university building and other special projects as assigned.

Enrollment Requirements: All student assistants must be enrolled a minimum of six credits per quarter or they will not be permitted to continue working for the University Libraries in any department.

Scheduling: Although the department will try to accommodate students desired work schedules, hours will be scheduled on the basis of when student coverage is needed.

Students must work a minimum of 8 hours per week. Students may work a maximum of 30 hours per week, as needed by the department. Supervisors may impose further restrictions on the number of hour scheduled.

Students may only work during the department's hours of operation: Monday through Friday, 8:00 A.M. to 5:00 P.M. If staff members are scheduled to work in the department after these hours, students may work in the same room as the staff member. Students are not permitted nor expected to work without staff supervision on a regular basis.

Students are permitted to work between quarters.

Students are hired on a "per-quarter" basis. It is possible that a student may not be re-hired every quarter.

As we are not a public service site, it is not an inconvenience to change your work schedule as necessary. However, students are expected to work their previously agreed upon number of hours each week. Schedule changes are nor possible however for those students that are scheduled to answer phones at specific times.

Attendance/Tardiness: In the event of illness or tardiness, notify your supervisor before the beginning of your scheduled work time. Leave a message if your supervisor is unavailable.

Failure to call before an absence may result in disciplinary action.

If you must be absent due to a previously scheduled appointment, notify your supervisor in advance.

Absence hours may be made up during the same week. Students responsible for answering the phones are only permitted to make up the hours if there are no other operators scheduled or on duty.

Time Sheets: Students must sign the bottom of their completed time sheets in ink before the time sheets are turned in the library Personnel Office. Failure to do so may result in the student not receiving a paycheck on the following payday. Students must sign in when they arrive and sign out when they leave.

Paychecks: Paychecks will be distributed to students on payday (every other Friday). If a student will not be working on payday Friday, and needs to pick up their paycheck on Thursday, notify your supervisor who will make arrangements. Early paychecks may not be cashed until Friday.

Due to payroll processing you will not receive your first paycheck for approximately one month. You will also receive your last check at least two weeks after your last day.

Breaks / Eating / Smoking: If a student works for four consecutive hours, he/she is entitled to a 15-minute break. The break should be taken in the middle two hours of the shift, not in the first or last hour.

If the student works wight hours, he/she is entitled to two 15 minute breaks--one in the morning and one in the afternoon.

It is not necessary to sign out on the time sheet for a 15 minute break. The student will be paid for the time during which he/she is on break.

If a student takes a lunch/dinner break, he/she must sign out on the time sheet. Students are not paid for lunch or dinner.

There is NO eating permitted in the library, except in the staff lounge or on days when we are having in-house luncheons.

There is NO eating permitted at the Pcs.

There is no smoking permitted in the library building in any room.

Phones: The office phones are for library business. If you must make a personal phone call, ask the supervisor first. If you must accept a personal phone call, please keep it very short. These calls should be kept to a minimum.

The supervisor will provide students basic instructions on phone usage.

Visitors: Students are discouraged from receiving visitors during work hours. The way the offices are configured, visitors can disrupt workflows and disturb others trying to complete their own duties.

Equipment and Supplies: The library's equipment and supplies are for business purposes only. Students are not permitted to make personal use of the copy machine. Students found doing so may be disciplined. Talking: Students working at the PCs should avoid excessive social conversation so as not to disturb the other staff in the room trying to complete their own duties. It has been found that lack of concentration results in a high number of errors.

Disciplinary Action: The first level is a verbal warning; The second level is a letter of probation which will be copied to the library personnel office; The third level is termination, either immediately or at a specified time, depending upon the offense; For serious infractions, termination may result immediately.
