Revised March 9, 1998
1. Every 6 months, Automation (Nancy Helmick) will construct a boolean of
titles which were cataloged over 6 months ago and item status is still "in
process"
Bib record -- catdate older than XXX
Item status = p (in process)
2. Items with a 3 letter location code or a 3-letter code+b (backlog codes)
are reported to Magda El-Sherbini for resolution. These usually reflect one of the following errors
in cataloging (i.e. the location code should have been the default 4 letter code for the location),
the backlog item record with a location code of loc+b was not overlaid properly, or the loc+b
item record is a duplicate that needs to be deleted
3. Items with 5-letter location codes (other than fins1 and sels1, the defaults for those locations)
are automatically updated to status = available (-) based on the assumption that the piece was
received in the location but the status was not updated when the location was updated
4. Automation collects a sub-boolean on the loc+s (plus fins1 and sels1) to see if the item ever
circulated (total check-out is greater than 0, or an "out date" exists). If these elements are found,
the items are automatically updated to status = available (-) based on the assumption that
the piece was received in the location but the status was not updated
5. The remainder of the loc+s (plus fins1 and sels1) items are reported to collection managers
asking them to search for this material in their locations. Titles for mais (Main stacks) are
reported to Main Library Circulation (Tony Maniaci) for searching in the stacks. Periodically,
Automation checks the sub-boolean and deletes those items which have had a
change in status to "available" (-).
6. After a period of 2 months, the remaining items are updated to status = missing.
7. Printouts are sent to each collection manager listing the remaining titles and indicating that
replacements (if still wanted) can be ordered through the Head, Acquisition Department (Carol
Diedrichs) using the los1 fund. (See attached memo)
