Definition: Deletion of an item record is a transaction which removes an item record from OSCAR by working in Felix. Once deleted, the record cannot be recovered. The item record number (.i########) remains in the system, however, and if searched, it is reported as having been deleted on mmddyy.
Records are rarely deleted from OSCAR. Only some staff are authorized to use delete
transactions directly (immediate removal of the record) using a menu option for D > Delete.
Other staff are authorized to mark records for deletion by changing a code in the item record.
These are collected by Catalog Maintenance on a regular schedule and removed from the
database by a program run. Reasons for deletion include error (e.g. accidental creation of an
extra item record), removal of a course reserve, or when a serial holding is collapsed into a
summary item record.
Item records are never deleted for missing, lost, or withdrawn pieces.
If a duplicate of an existing item record is accidentally created, always retain the original item
record. This carries circulation data and other information brought from the former system,
LCS.
2. If authorized to update item records but not authorized to delete directly
2.1 Remove any links to course reserve or additional bibliographic records;
display item record again
2.2 Change the value in fixed field 02 ICODE1 to 999
2.3 Make change permanent; do not send printout to Catalog Maintenance
3.1 Remove any links to course reserve or additional bibliographic records
3.2 While viewing item record, key D> Delete, D> Y M>
4. If not authorized to update item records
3.1 Send request as email or as a printout of the item record to Catalog
Maintenance, Room 030, Main Library; printout must have date and name
of requestor.
