This month, two members of the Western Languages Section, Jim Whitcomb and Vickie Fitzgerald, spent time working with two practicum students from the Kent State University School of Library and Information Science who were working under the direction of Magda El-Sherbini. The students were Anne Jubera and Joey Schulte. Jim, who focused on ETD (Electronic Theses and Dissertations) cataloging, completed working with both Anne and Joey. He also gave Anne an overview and introduction to loading files into Millennium and MarcEdit. Vickie worked with Anne a on non-book materials. She will work with Joey starting March 31, 2010. Vickie helped Anne to create 3 new records, two for DVDs and one for a map. They also created 3 NACO records.
Magda El-Sherbini wants the members of the Cataloging Department to increase our BIBCO production. First, Stephanie Gilchrist held a training/refresher session on the BIBCO Standard Record (BSR) for all members of the section and some members of the Special Collections Cataloging Department (March 3, 2010). Except for Jim and Vickie, who do non-books, all members of the section did BIBCO records this month-- Lisa Chiong (41), Vera Enesey (35), Christina Moore (25), and Theresa Wei (60). BIBCO records require that names and series have NACO authority records which adds to the number of NACO records being created. This month all section members prepared NACO records-- Lisa (9), Vera (7), Vickie (7), Christina (8), Theresa (26) and Jim (7)
.Beverly McDonald attended a coordinators' meeting (March 1, 2010) and held a section meeting (March 11). Beverly and section members attended the Catalog Committee meeting (March 11; Beverly took the minutes).
Jim Whitcomb has started getting rush requests from collection managers for eSpringer items that are in the EBC (Electronic Book Center) but not yet cataloged. So far, there have been three rush requests from Ohio State University Libraries subject specialists. Great progress has been made with ETD processing-- from a backlog of over 600 titles in late December 2009 to 127 that remain now. Of the remaining titles, 40 have been cataloged and just need to be checked and exported. Greatly lessening this backlog was a group effort of Jim, Zaineb Bayahy, Lisa Chiong, both practicum students and Jim's two students.
Lisa Chiong did ebrary provider neutral records to help Jim Whitcomb with his workload. Vickie Fitzgerald reviewed the map cataloging of Patti Dittoe at the Geology Library. They produced 29 map records (which includes 7 analytic titles).
The section contributed 3 Arabic NACO records, and had 33 Turkish and 5 Chinese NACO records under review process. The section continued the special project of cataloging large multivolume Chinese sets.
This month the section cataloged totally 955 non-Roman titles in 1238 volumes/pieces, 3 NACO, 4 PVR, and 118 PCC records. The section received 342 new pieces of East Asian materials. This month, a large number of student staffers were taking vacation or leaves.
Sherab worked with Jim Muir of IT on upgrading the department's blog, so that we can take advantage of the features the new blog interface offers. The Cataloging Department Blog, together with another two library blogs authored by Sherab (the Non-Roman Cataloging and Chinese Collection Management blogs), became the first library blog upgraded to the newer version of WordPress, the blog software that OSU Library is using. Sherab also taught Ed Plunkett how to use the new blog to post and archive monthly reports.
Sherab met with 2 full time staff Zaineb Bayahy and Anna Batchev in section monthly meeting. He conveyed important messages learned from the department coordinator meeting, including ACK's new neighborhood and new emphasis in cataloging monthly report.
This month, the department made a new move in the direction of increasing BIBCO productivity. To implement this project, Sherab set up procedures for the special workflow of East Asian cataloging, which is largely maintained by student staffers. He met with Stephanie and discussed the procedures he designed in order to ensure its concordance with the department's BIBCO practice.
Zaineb enhanced 4 PVR (Previously Verified Records). She helped Stephanie in checking Subject Headings of one French record, and also helped Jim with Electronic thesis and dissertations. She added these records to OhioLink and enhanced them. A detailed report follows.

Anna cataloged 72 new Slavic books (12 original), 176 books from Regional campus libraries (7 books for ATI location, 70 books for Lima campus, 6 books for Mansfield, 36 books for Marion, 47 books for Newark). She also corrected some wrong cataloging records by Regional campus libraries.
Anna was learning with Stephanie on making PCC records, and cataloged 44 Slavic and 40 English books (9 original cataloging) according to PCC guideline. She also started working with Melanie on authorities search, and helped the Serial department to search and fix Slavic records with her Slavic language expertise.
Yang Yu (GAA) cataloged 37 new Chinese titles (8 original), 1 electronic, and 3 rare book titles (in 20 volumes).
Hsiao-feng Tsai (GAA) Quarter leave.
Yongfei Yi (hourly) made cataloging analytics for 5 multivolume Chinese sets in 200 volumes.
Gumiko Monobe (GAA) cataloged 20 new Japanese titles (8 original), 14 Japanese serials, and she was on a two weeks leave.
Mariko Mizuno (GAA) cataloged 134 titles of microform reproduction of the Japanese Meji Era literatures. All original cataloging.
Akina Handa (hourly) cataloged 107 titles of microform reproduction of the Japanese Meji Era literatures. All original cataloging
Kyong Young Ha (GAA) cataloged 96 new Korean titles (26 original), and assisted Sherab in collecting and calculating statistic numbers.

Rocki Strader attended the following meetings and events: retirement reception for Sally Rogers, Feb. 25; ALAO Conference Planning Committee meeting, Feb. 26; CAT Dept. workshop on the new BIBCO standards, March 3; Catalog Committee meeting, March 11.
Rocki's GAA, Gunjan Kathuria, will be using her 4th Quarter fee authorization for Spring Quarter. She will know on April 12 whether or not she is graduating at the end of Spring Quarter.
March 8-10 and 24-25, Rocki worked with Anne Jubera, a practicum student from Kent State. Rocki assigned Anne several ETDs to work on and discussed subject analysis in the context of ETDs. Rocki also had Anne do some research and documentation for a SACO proposal on "Thermal barrier coatings," which Rocki submitted to SACO on March 10 (approval is still pending).
One of Rocki's students asked for four weeks off from work, claiming illness and making up class work, which Rocki granted. Then Rocki learned by accident that the student is working a second job and appears to still be working even during the period of time that was asked for. Rocki is working with HR as to the best resolution to this case, but has time constraints (out of the office for both personal and business reasons) that forced her to table the issue until April 5.
To make sure that all OSU theses had been coded with the new STX location code for theses, stxst, Rocki ran a new boolean on the thesis note (502) and location of stx1. There were 313 titles with LC call numbers instead of OSU thesis numbers. On Magda's recommendation and Melanie's help, these titles were globally updated and re-coded for location (to stxst) and for material type (to "z" OSU thesis). This action will keep them out of the statewide depository program with the rest of our theses.
Tim Watson of the Graduate School emailed Rocki to inform her that the Graduate School is setting up a "dark archive" for embargoed masters ETDs. Rocki will be the only member of the Libraries who can access it (through Shibboleth authentication) until she specifies who else should have access. Rocki asked about a similar set-up for the creative writing MFAs in lieu of cd-roms, but it has not yet received a definitive rsponse.
SACO proposals: In January, Rocki had submitted three SACO proposals ("Monolithic reactors," "Paclobutrazol," and "African American mothers in literature"). All three have been approved and are now in the subject authority file.
