OSCAR Database Management
SUBJECT: Table of Contents (TOC) enrichment in OSCAR bibliographic records
DATE: November 29, 2000
ISSUED BY: Cataloging Dept. (nvp)
This document provides examples for various search options and displays that result depending on which version of OSCAR is being used and whether you are working in public mode (VT100 or web), staff search, or staff update. An example is given for a multi-authored book with chapter titles, and a single authored book with chapter titles.
For OhioLINK central, searching and display will be similar to searching OSCAR webpac.
For those who catalog, note that the TOC information in a bibliographic
record is protected during the overlay process (either during export from
OCLC or during overlay loading).
WHAT TOC IS
This record enrichment provides additional access by keyword or title
indexing of chapter titles, and keyword or author indexing of chapter authors.
Traditional contents notes, if present, are only indexed in keyword.
Table of Contents (TOC) data are fields that are similar to traditional
contents notes in bibliographic records (505), but are stored in alternative
MARC fields defined for this special purpose (970). A date stamp appears
in field 971, which is the date the specific TOC information was prepared.
In OSCAR, TOC is treated as a "local note" field and is protected during
bibliographic record overlay processes.
It is possible that a bibliographic record will have both a traditional
contents note and TOC data. Generally, both should remain.
Problems or errors in TOC titles or author names should be reported
to Authority Control and Database Maintenance (formerly Catalog Quality Control and Enrichment).
SOURCE OF TOC DATA
TOC data is supplied to OhioLINK by an arrangement with Blackwell North
America (BNA) and Innovative Interfaces, Inc. This cooperative project
began in 1994. For OhioLINK, most TOC records date from 1994 forward, although
BNA describes coverage back to 1991. It is possible for very recently published
and cataloged books to be enriched with TOC data.
Since TOC data is a BNA product, BNA determines which titles receive
TOC enrichment. See the BNA
website for a project description.
OhioLINK Central Catalog
OhioLINK Central Catalog About 200,000 bibliographic records
at the central catalog have been enriched with TOC data, beginning in 1994.
The enrichment is continuing though loading new TOC data, generally on
a bi-weekly basis.
Local institutions Only Ohio State University and the University
of Cincinnati have loaded TOC data to local catalogs, beginning this year.
Cincinnati: about 115,000; Ohio State, about 130,000. This week, OhioLINK
announced that additional local sites may request to be included in the
distribution of TOC data for their local catalogs. If a local institution
does not choose to add TOC to their local catalog, their bibliographic
record might contain TOC fields in the central catalog and have enhanced
search access there.
OSCAR In August, we began the load of a backfile of about 124,000
TOC data to merge into OSCAR bibliographic records. Additional loads have
added ca. 6,000. About 1,000 are expected to be added on a regular schedule,
probably bi-weekly. These will be loaded to OSCAR by Catalog Maintenance
as an ongoing regular process.
INDEXING AND SEARCHING IN OSCAR
In OSCAR and in OhioLINK central, the indexing is the same
TOC author name searchable in AUTHOR index; also in WORDS index
TOC chapter title searchable in TITLE index; also in WORDS index
Traditional contents notes are indexed and searchable only in
WORDS.
TOC authors are excluded from ongoing authority control and therefore
may be variant forms (e.g. missing middle name, lacking birth date) that
differ from the established form used for other materials. Earlier, some
work was done by BNA to correct author names in TOC fields; there will
be inconsistency in that some records will have author names corrected
but others will not.
The display of the TOC fields differs depending on whether you are searching
OSCAR VT100 in staff search or staff update, or public VT100 or the webpac,
and whether you are viewing the labeled display or the MARC tagged display.
SAMPLE RECORDS WITH TOC ENRICHMENT
There are 4 options described below, for searching and viewing either
a single authored book with chapter titles or a multi-authored book with
access to additional authors as well as chapter titles.
To quickly get the flavor of what adding TOC does to searching, try
the additional suggestions at the end of the message using OSCAR webpac.
MULTI-AUTHORED BOOKS WITH CHAPTER TITLES
NoteThe response to a search on the chapter author will be the chapter
title (most words capitalized); the response to a search on chapter title
words will be the main title of the book in which the chapter title or
words is found. In OSCAR webpac, the match will show in red.
