Analytics and container record (for serials or series)

Occasion
Sometimes a series has a series title, but each individual volume in that series treats a different subject. We want to shelve the whole series together in one place, and at the same time we also want to provide users access points to each volume of different work.

Treatments
We first create a general bibliographic record, called "container record," under which all items of each volume are attached. Then, we create individual bibliographic record for each volume, provide different subject heading or even different classification number, but we do not attach any item record to it. Finally, we link each item record (under that container record) to each individual bibliographic record we just created for that item.

Features and achievements

  • All volumes are shelved together in one place.
  • User can locate individual work by searching specific subject headings assigned to each volume of work in this series.
  • Allowing more than one set of classification numbers co-existing. Each book itself is shelved under the container's classification, but its bibliographic record still can be located by a different classification assigned to it in the online catalog. <This requests to add a call number on the Item record itself. The call number added in the Item record will override the call number in the individual bibliographic record.>
Bound-with (for more than one different works bound together)

If two or more different works are bound together, (1) either as one book or in a single form such as bound together in a case etc., and (2) no collective title is made for these works (often the title of the first work appeared as the title), we could treat them as "bound with" and provide a "with" note as defined by AACR2. Guideline follows.

  • Create separate Bib record for each work.
  • Assign one classification for all works, if different, classify under the first title.
  • Create only one Item record under the first title.
  • Add a 501 field. Example: 501__ with xxx

Link the Item record under the 1st Bib with other Bib records. The result of this is: When a use searches either of the title, he/she will see an Item available for checking-out. When the user checks out the item, he/she has to check all the works (as a book or in a case) together at the same time. In other words, when one title is checked out, the other are also checked out.

Work-in-parts (WIP)

WIP is a local treatment and it has been used primarily for CJK materials. It is the only one treatment that allows volume information (called volume designation) to be attached as part of the call number.

The strategy is to create a bib record for each part, and all parts have the same call number but followed by volume identifier for different part. There is no serial or 'container' record, and so there is no 'linking' involved, but all parts of the same work can be still held in one place.
Catalog each volume (or part of work) individually. Assign an identical Call number for the whole sets, and then add volume number at the end of the Call number field (usually after the year of publication).

An example of WIP:
A selection of Takeyama Michio' works in 8 volumes. Call number assigned as: AC146.T289 1983, "no.1, no. 2, �no. 8" are being added to the call numbers.

Special location code for East Asian materials

Special location codes are designated for East Asian materials to be shelved in the Main Library and other library locations. For an East Asian book that has a streamer displaying MAI, set its location code in 949_1 $l sub field according to the Call Number assigned to it.
