Context:
Access to the update function in OSCAR is a closely held authorization because of the significant damage which can be done to the database. The OSCAR database is the Libraries' fundamental access and inventory control tool. Its value to the institution is critical and care must be taken to ensure its integrity and accuracy.


Who can have access?

  • Faculty, staff and students whose work assignment involves cataloging or record maintenance

  • Outside contractors hired to do cataloging or record maintenance


Examples:

  • Faculty, staff and students in Technical Services

  • Faculty, staff and students in decentralized cataloging units such as Music, Regional Campuses, Law and Health Sciences

  • Outside contractors such as OCLC or Matthews (HEA)

  • Faculty, staff or students elsewhere in the library system granted access for very specific projects usually with a defined start and end time


Steps for being granted access privileges:

  1. Submit request for access to Nancy Helmick including the following information:

    • Name
    • Status (e.g. faculty, staff, student worker)
    • Justification for access
    • Training plan
    • Quality control measures
    • Start/end parameters (if warranted)

  2. Request is reviewed by Nancy Helmick and Carol Diedrichs.

  3. If approved, Nancy Helmick will set up access.

  4. If denied, technical services will explore alternatives with the requestor to update records.
