Instructions for
Sorting Tech Services Mail

(Also helpful for Transferring Phone Calls)


  1. Is it addressed to us? (If not, do not open; see Nick.)
    Clues:
    • Ohio State University Libraries (Watch out for Ohio University which is in Athens, Ohio - this is not us. Even if the street address is ours, if it says "Ohio University", show it to Nick.)
    • 1858 Neil Ave. is our building.
    • Look for clues to what room:
      -- The following are in this room:
      • Room 040 is this room (may or may not appear in address)
      • Acquisitions, Monographs, Approvals, or their abbreviations
      • Serials/Continuations/standing orders/memberships, electronic/online resources, or their abbreviations
      • "Serials Cataloging" (in SRI Department)
      -- Mail addressed to Cataloging Department (not "Serials Cataloging", which is in SRI) and Special Collections Cataloging Department (SCCAT) is usually delivered to Room 030 and 036 respectively, but if something for those rooms comes to us, we have mailboxes labeled "Cataloging" and "SCCAT" from which we take mail to them when we do the twice-daily mail runs; you may put their mail in these mailboxes, unopened.
      -- If address is only, e.g., "OSU Libraries, 1858 Neil Ave." with no other qualifier, it could be for some other department in our building or it could be ours. You will need to open it to see where it should go. If it's not clear to whom it should go, give it to Nick.


  2. Sort mail addressed to us by looking for clues and key words on each piece of mail (See "Clues & Key Words" section below). If anything is the least bit questionable, ask Nick.
    You may want to presort into the following four general categories (Look in "Clues & Key Words" section below for anything not listed here):

    1. Peoples' names:    Mail for this room, but addressed to individual people by name.
    2. General:    Mail for this room, but with no individual person's name on it. If desired at this point, you could also pre-sort this group into these sub-categories:
      • Serials - These may also be called continuations, memberships, subscriptions, standing orders, gifts & exchanges. Note that any of these terms may be followed by the word "acquisitions", but that the word "acquisitions" by itself often is used for monographs.
      • Monographs - These are usually books, but could be non-book materials such as DVDs, etc. The word "Acquisitions" often will appear in the address without the word "serial", "continuation", or "subscription". Also look at inside address: Sometimes address window shows just "Acquisitions" but inside says "Serials".
    3. Mail that does not belong in this room
    4. Questions for Nick (Affix a note to each with your question.)


  3. Open mail for this room:
    • Slit envelope along flap.
    • Leave contents in envelope. If there are different types of materials in the envelope/package, keep all contents together, and handle according to which item is most important. (For example, the following three items received together would be put in the checkin box: Checkin piece with claim slip and invoice;)
    • Do not open mail addressed to individuals by name until you've read "People's names" in "Clues and Keywords" section below.


  4. Distribute mail - Anything the least bit questionable: If not found in "Clues & Key Words" section of this notebook, or in the addendum "Mail to Direct Elsewhere" in that section, ask Nick.



Clues & Key Words

Ads - See box below. (For catalogs, see "Catalogs".)

 
  • If it's a catalog, stop here and see "Catalogs" instead.

  • Ads addressed to an individual person by name: See "People's names" before continuing.

  • Ads for library collection materials such as books, serials, audio/visual materials, etc.(in other words, things librarians might want to buy for the library collections) - Put in the collection managers' mailboxes by subject. (For some specific subjects, see addendum, "Subject Areas and Their Locations" section of notebook.)

  • Ads for library equipment or supplies - Send to the Business Office (Rm. 107 Main Library).

  • Ads for non-library type items, (gifts, clothing, furnishings, art museums [not art auction houses which are likely to be checkin pieces], etc. - the kind of catalog you might get at home) - If it has an individual's name on it, put it in that person's mailbox, otherwise put it on wooden shelf above wire mail baskets.
  • NOTE 1: Announcements of meetings, seminars, workshops, or conferences are not ads - See "Announcements" below.
  • NOTE 2: Pencil on ads for EHS, SEL, and WEL the following categories (each category goes to a different collection manager when we mail out the contents of the mailboxes once a week):
    • EHS - Education (includes sports, exercise physiology, etc.), Human Ecology (includes nutrition, textiles, etc.), Psychology, Social Work.
    • SEL - Chemistry, Engineering, Math, Physics
    • WEL - This location gets only literature or titles that deal with Western European culture (NOT EVERYTHING in those languages). The four categories are:
      - French, Linguistics
      - German, Scandinavian
      - Italian, Classics
      - Modern Greek



Announcements of meetings, conferences, seminars or workshops of organizations for which we have a membership or standing order - Put in check-in box. (If you are not sure if it came because of a membership or standing order, ask Nick, or leave in one of their mailboxes if they are absent.)

Approval Plan Notification Slips, invoices, and packages (These will be monographs) (DO NOT OPEN APPROVALS PACKAGES) - Karen Lawson; date stamp top page of invoice.

Call tags - See "Return labels".

Cancellations -

  • For monographs or "firm" orders: Mike Valinis.
  • For subscriptions and standing orders: SER mail slot
  • Electronic/online subscriptions - SER mail slot
  • Serial unit orders (SUO's, which are for individual issues rather than subscriptions): SER mail slot (NOTE: SUO's are uncommon.)


Catalogs - See box below:

 
  • Catalogs addressed to an individual person by name: See "People's names" before continuing (SOme individuals want their catalogs, others do not.)

  • Some catalogs are checked in (college catalogs, Maggs Bros. catalog, art auction houses such as Christie and Sotheby, etc.).
    Clues that it may be checkin:
    • Volume and/or issue number, e.g., v.5 no.3 or v.5:3 or 2005:3
    • Date, e.g., "2005" or "June 2005" or "Spring 2005"
    • ISSN number, e.g., "ISSN 0191-1422"
    • It's in the "Checkin or Not?" section of this notebook -
      • If it's in there, follow the directions given there.
      • If it's not there, but you still suspect it might be a checkin piece, put it in the "Catalogs to be Searched" basket. It is better for SER to double check it, than to send a checkin piece somewhere else by mistake, without checking it in.

  • If clearly not a checkin piece
    • Catalogs of library collection materials such as books, serials, audio/visual materials, etc.(in other words, things librarians might want to buy for the library collections) - Put in the collection managers' mailboxes by subject

Check-in pieces - See box below:

 
  • Check-in pieces are newsletters, journals, magazines, periodicals, items coming because we have a membership or standing order, etc.. They may come in first class or campus mail.
    It is very important that these pieces get checked-in. If you have any doubts, ask Nick, or in his absence put item in the check-in box: It is better for SER to double check it than to send a piece to a location by mistake, without checking it in.

  • Clues that it may be a checkin piece: Look on the front cover, spine, table of contents, or in editorial information, for:
    • Volume and/or issue number, e.g., v.5 no.3 or v.5:3 or 2005:3
    • Date, e.g., "2005" or "June 2005" or "Spring 2005"
    • ISSN number, e.g., "ISSN 0191-1422"
    • It's in the "Checkin or Not?" section of this notebook -
      • If it's in there, follow the directions given there.
      • If it's not there, and you're still not sure whether or not it's a checkin piece, ask Nick, or in their absence put it in the "Checkin" box to be searched by SER checkin personnel. It is better for SER to double check it, than to send a piece somewhere else by mistake, without checking it in..

  • If you're sure it's a checkin piece, put piece in "Checkin" box.
    • If you have opened the envelope, keep it and all of its contents together: Place envelope sticking out top of piece, or piece sticking out top of envelope - whichever will best keep them together in the box.
    • Watch for microfilm, microfiche, diskettes, floppy disks, and be sure they don't get separated from other contents.


Checks - Watch out for anything on or with the check that may direct it to another department. Do not date stamp any checks !!! If it is for Tech Services, give it to Kathryn Beach (may be made out to the Acquisition Dept or Accounting Dept or TSAA, ASA, or SRI Dept. or to The Ohio State University).

Claim slips and claim reports from vendors (as well as other information about claims such as changes in publication schedule, or delays in publication) - These may be the small red "Purchase Order" slips with "CLAIM" printed several times across the middle, or they may be full size reports, or other types of corespondence.

  • For monographs: Pam Bentley
  • For serials (i.e., for subscriptions, or for late or non-received issues of subscriptions): SER mail slot. [NOTE: Joe Marino sometimes claims serial unit orders - SUO's - which are usually for replacements for issues we received and later lost. Claims for the later are rare, and somewhat more difficult for you to identify. One identifying clue is if the red and white claim slip lists a "1" fund for the purchase. So if the claim is for a journal issue(s), and you are not sure whether or not it is an SUO, give it to Joe Marino.]

Compact Disks -

  • CDs that are serials (including Silver Platter CD's, which sometimes are addressed to Trisha Davis) go in the Check-In Box. Exception: CD's which have check-in pieces with them: Give to Nick.
  • CDs that are monographs go to Brian Kuru.

Conference announcements - See "Announcements"

Confirmations of orders -

  • Monographs: Mike Valinis

Copyright - Any Copyright related issues: Shannon Baird

"Head Librarian" but no specific-person's name:

  • If it's addressed to this room (e.g., "040", "Acq", "Monographs", "SER"), open it to see what it is, and direct it accordingly.
  • If address is just "1858 Neil" without specifying room or department, write on envelope "Joe Branin" (He's the Director of the Libraries, and therefore, Head Librarian) and put it in wire basket labeled "Returns to mail room" with appropriate streamer.

"Hold to be picked up at ACQ" - Take to Circulation desk (because ACQ is not a pick-up place)

"Harrassowitz Form Selection" slips - These should also say "Approval" on the line above, and therefore should go to Karen Lawson.

HR (Human Resources) - If its from HR and is for an individual, do not open.

Individual names (anything addressed to individual people by name) - See "People's names".

Invoices - See box below:

 
      Invoices may include the words "pro forma", but not "statement", not "renewal" (see separate entries for the last two)

      Clues to what type of invoice it is:
  • Look at address for words like "continuation", "serial", "standing order" (or "SO"), "subscription", "ISSN" (International Standard Serial Number), "ISBN" (International Standard Book Number), "monograph" (or "book")", etc. - these are all serials.
  • Look for a purchase order number (There doesn't have to be one.). Eight digit numbers beginning with "31" are for continuations ordered before Dec., 2000. Since December, 2000, both new continuation and monograph purchase order numbers start with "4", so those will not be helpful.
  • "Acknowledgement Only": If invoice says "Acknowledgement Only", circle those words and discard. Be very careful not to discard any which do not say this.
  • A "statement" may look very much like an invoice, but the word "statement" tells you that it is not. See "Statements" below.
  • If a "packing slip" comes by itself, not accompanying a piece or other materials, treat as invoice.
  • If invoice has a square stamp on it that says "Approved for Payment [date] Tschera Connell" (Give to Nick, who will give to Accounting Clerk in Accounting Section.
  • If claim slip is accompanied by invoice, keep together and treat as invoice.
      Monograph invoices
  • "Approval" books (you should see the word "approval" on package or correspondence): Date-stamp top page; Karen Lawson
  • Other monographs: Date-stamp top page; Kathie Miller
      Serials (continuations, memberships, subscriptions, standing orders) invoices

    • Magazine subscriptions addressed to individuals. Some of these are check-in pieces, and some actually should go to the individuals named. If a piece addressed to an individual is a publication about libraries or librarianship (e.g., Journal of the American Library Association), treat it as personal and put it in her/his mailbox. If not (e.g., Journal of the American Ceramic Society clearly is not), ask Nick about it, or in their absence put it in the "Checkin" box to be checked by SER checkin personnel.
       IF FROM:

    • Anything in a campus mail envelope: Put in mailbox unopened, no matter who it is from.
    • Human Resources (HR): Put in mailbox unopened anything from Human Resources (HR).
    • Personal-looking sender (or if you can't tell whether or not it's personal): Put in mailbox unopened.
    • Librarians' organizations (e.g., American Library Assn., etc.): Put in mailbox unopened.
    • If at all in doubt, do not open: Ask Nick.


    Personal mail (regardless of whether or not it is marked "Personal") - Place in mailbox unopened anything that looks like it might be personal. (For more on mail addressed to individual people by name, please see "People's names".)

    Receipts for mail sent out: Ask Nick who it should go to (Insured Otto Harrasowitz may be Mike Valinis?)

    Renewal Notices (including those for trial subscriptions):

    • Online or electronic resources subscriptions - SER mail slot
    • Paper and microform subscriptions - SER mail slot

    Replacement pages - See "Errata".

    Resumes and/or applications for OSU employment - Send to Toni Morrison-Smith in our Human Resources office in Room 110 of this building (put in basket to be taken to HR mailbox in ASD on next mail run).

    Return labels - These are labels sent to us by publishers, to use when we need to return materials to them. The return address on the label itself might indicate the department you should direct them to (if SER, give to Joe Marino; if MOD, give to Nima Shafaieh). If it is not readily apparent, show these to Nick, who will check the order and check-in records on FELIX to determine who should get them.

    Returned mail - Do not open these. Look at the end of the meter mail stamp for name of department which sent it out, and give it to:

    • If sent out by "Tech Services-Adm" - Give to Acquisitions Accounting
    • If sent out by "SER" - SER mail slot
    • If sent out by "MOD" - Give to Mike Valinis

    Statements of Accounts (both monographs and serials) - Kathryn Beach; date-stamp top page. (NOTE: It may look much like an invoice, but the word "statement" tells you that it is not. A statement may even refer to "invoice" numbers within the body of the document, but the word "statement", usually found at the top of the document, is the clue to follow.)

    Status Reports (e.g., "out of print", "backordered", etc.) - Look at correspondence for key words described elsewhere in this document. Purchase order numbers beginning with "31" are for continuations; since December, 2000, both new continuation and monograph purchase order numbers start with "4", so to tell which is which, look at title, etc., and use your own judgement.

    1. Requests for photocopies go to Interlibrary Loan Dept.
    2. Invoices and catalogs for equipment or supplies - Send to the Libraries' Business Office (Rm. 107 Main Library) (Except: Keep here any catalogs from which we here in TS may want to order, such as Highsmith).
    3. Letters from patrons asking to have library materials renewed go to Circulation.
    4. Checks made payable to Ohio State University that are accompanied by library overdue notices, payments for a photocopies, etc., go to the Libraries' Business Office (Rm. 107 Main Library).
    5. Requests for the purchase of library materials such as books go to Circulation.
    6. Requests for Masters' Theses and Dissertations go to Interlibrary Loan Dept..
    7. Faculty/staff job descriptions from other libraries go to Toni Morrison-Smith in Libraries' Human Resources
