  1. Use only lower case letters.

  2. LIB HAS statement should begin with the first or earliest volume owned.
    Example: v.1(1991)-v.5(1996)       not:  v:5(1996)-v.1(1991)

  3. Record volume or whole number - not both.
    Examples:
    v.1(1983)-v.2(1984)       not: v.1no.1(1983)-v.2no.4(1984)
    no.3(1991)-no.4(1992)       not: no.3pt.1(1991)-no.4pt.4(1992)

  4. Record the date in parentheses only when there is a volume or number with it.
    Examples: v.1(1987)-v.4(1991) or, 1991-1993       not: (1991)-(1993)

  5. Do not use spaces.

  6. Use “-” when there is a continuous number of volumes.
    Example: v.1(1987)-v.4(1994)

  7. Use “/” when the volume covers more than one year or when there is more than one volume to one bound item.
    Examples: v.5(1974/1975)    or    v.1/2(1970)       [not: v.5(1974-1975)      not: v.1-2(1970)]

  8. Use “;” to show a change in non-gap enumeration.
    Example: v..1(1980)-v.10(1990);1991-1995

  9. Use “,” to show a gap in holdings for missing volumes covering a span of five years or more.
    Example: v.1(1970)-v.3(1972),v.10(1979)-v.19(1988)

    Ignore gap if the missing volumes cover a span of less than five years.
    Add: (Incomplete holdings) after the statement if there are numerous gaps in holdings.
    Example: v.1(1883)-v.56(1920) (Incomplete Holdings)

  10. Do not abbreviate years.
    Example: 1980-1990       not: 1980/90

  11. Use “:” between multiple levels of data, i.e. between series and volume.
    Example: Ser2:v.1(1991)-ser2:v.2(1992)

  12. Use the labeling information in the bibliographic record 910 field or check note field in the check-in record to create the LibHas note. If the labeling information changes, so should the information in the LibHas note for those volumes.
    Example:
    LABELING:SER+VOL FROM 1981-1982; YEARS FROM 1975-1980; VOL FROM 1970-1974
    LibHas:  v.1(1970)-v.5(1974);1975-1980;ser2:v.1(1981)-ser2:v.2(1982)

  13. Do not make LibHas statements for HEA, CHI, LAW or the regional campus libraries: ARD, ATI, LIM, MAN, MAR, NWK. They create their own LibHas statements.
