OSUL Policy for LIB HAS Summary Holdings Statements
8/98 Revision


The TSC LIB HAS Task Force has considered the many issues surrounding the purpose, creation, maintenance and use of LIB HAS statements. This revision presents several new options for these statements and represents what was agreed upon in general by collection managers and the OhioLINK committees. The following basic assumptions are assumed:

1. In accordance with OhioLINK policy, INNOPAC system design, and the needs of OSCAR users, use the location designated for receipt of current issues for labeling and initial construction of the LIB HAS statements.

A. Build a LIB HAS statement on the most current check-in card for the copy being received. The default will be the location's 3-letter loc code unless otherwise indicated by the collection manager. 4 or 5 letter location codes may be used.

B. If the title is not currently received, build a LIB HAS statement on an inactive check-in record, using the 3-letter location code unless otherwise indicated by the collection manager.

C. On a request or project basis, gradually eliminate the SPLIT locations and use of the "In Multiple Locations" note by adding a separate LIB HAS note for each 3-letter location in which the title is housed.

2. Change the current LIB HAS policy to summarize all holdings into a single statement per location code.

C. On a request or project basis, gradually eliminate LIB HAS statements for multiple copies in a single location by creating a single inclusive statement.

3. Revise the current LIB HAS policy to provide by default an open entry statement in lieu of the "current issues only" statement.

A. LIB HAS notes will be built with an open entry statement based on an examination of the starting date/volume/no. of the new subscription and existing holdings.

B. If a location wishes to use the "current issues only" statement, the LIB HAS note may be changed simply by notifying SRI - Serials Cataloging of desired change.

C. On a request basis only, SRI - Serials Cataloging will gradually eliminate any existing "current issues only" notes by revising the notes as needed to reflect existing holdings in that location.

4. Expand the current policy to include the option to add an "incomplete holdings" note at the end of the LIB HAS statement when any volume is missing.

A. Add this phrase as requested or if noticed by SRI - Serials Cataloging staff.

B. Continue the use of a comma [,] to indicate missing volumes when the span of missing volumes is more than 5 years.

5. To designate the availability of electronic products served through the Web, location code WWW (databases) and WWJ (online journals), build a LIB HAS note in the form needed to correctly identify the product availability if the product or journal is not available to all OSU users: :

Columbus campus only.
SEL and BPL only.
Columbus and Newark only.

Note: These notes will be abbreviated as necessary to assure that the LIB HAS statement does not exceed the screen display limit, e.g. a single line of type.
