PROCESSING DUPLICATES/ADDED VOLUMES ONLINE
The new online master file maintenance capability, along with holdings file maintenance, now allows most duplicates and added volumes to be added to LCS instantly with an online transaction. If no other changes in LCS were made, this feature would result in holdings appearing on LCS as "available" when, in fact, the item would not yet have left the Catalog Maintenance Section on its way to Collection Maintenance for labeling. Clearly this situation would create difficulties for patrons seeking--and library staff snagging--items that were actually in transit between Catalog Maintenance and the receiving location. To address this issue, a group of "transit" RES codes has been established to identify any items processed using this online maintenance capability. These items will be charged to a special "RESQQ---" ID (the ---representing the library location's LCS code) upon being added to LCS by Catalog Maintenance staff, and flagged with a special streamer for easy identification. If an item charged to "RESQQ---" is not discharged by the receiving location within 10-16 days of the date charged, it will automatically discharge. The following details this procedure.
A. Added copies/volumes sent to Labeling:
- After adding holding to LCS, Catalog Maintenance will charge holding to a transit code for the receiving location (will charge with override if needed, e.g. condition code is NOCIR)

These charges will be programmed to discharge automatically 10-16 days after being charged. The charges will also prohibit saves.
- The items will be marked to identify them as added copies/volumes with a special salmon streamer and kept separate from other materials. The streamer will serve to inform both Labeling and the receiving location that the item has been charged to the transit code and the date that it was charged.
- The items will be delivered daily to Labeling as a discrete group.
- After being labeled, items will be distributed to locations with the special streamer still in the item:
- MAI items will be delivered in a discrete group to Main Circulation.
- MAI reading room items will be placed on shelves in the Labeling area as usual for pick-up by reading room staff.
- Items for locations outside MAI will be delivered in the usual manner.
- Upon receipt in the location:
- It is expected that location staff will discharge items from the transit code, so that the status on LCS will show as "available" (for circulating items), and that they will check for any saves on the record. This includes the materials for Main Library that have saves.
- Locations without discharge capabilities (e.g., MAI reading rooms) will need to make special arrangements for discharge (e.g., through MAI Circulation Dept.).
- Main Library may allow the transit code to discharge automatically when the 10-16 day period has expired.
B. Added copies/volumes not sent to Labeling (i.e., Special Collections materials):
- After adding holding to LCS, Catalog Maintenance will charge the holding to a transit code, overriding the NOCIR condition code.
