Chapter 3, section 2 of the “OCLC Bib Formats and Standards” provides guidelines for cataloging reproductions and the requirements for the 006 and 007 fixed fields. This information is available from the OCLC web site at the following RL:

Use the workform appropriate for original work, which for this project, is Books.
Field 006:
The guidelines state that the fixed fields represent the original – except for Form.
Field 007:
Additional fields or subfields required on record:
| • 090 | Use the call number assigned to the print reproduction and add “eb”
to the end of the call number. In a few situations the books are analyzed because there is a series with a serial. In these situations, do not add the “eb” to the call number. These situations require special processing and should be referred to the supervisor.

| • 240 | If the 240 field already exists, qualify it with (Online) |
| • 245 | Add $h [electronic resource] |
| • 500 | Add the following note in the 500 field so it shows in public display:
500 Text made available in compliance with Section 108 of the Copyright
Revision Act of 1976.

| • 530 | Add note to reflect an additional physical format available.
In the electronic version add the following note:
530 Online version of the print reproduction. |
| • 533 | Notes about the reproduction go in field 533:
533 Indicators undefined
533 Electronic reproduction. $b Austin, [Tex.] : $c BookLab, Inc., $d [date of reproduction]. |
| • 538 | Add the following 538 fields:
538 Mode of access: World Wide Web.
538 System requirements: [file size in Megabytes (MB)]; Adobe Acrobat Reader.
The size of the file is given in bytes, which consist of a large number that should be converted to Megabytes.
Comment: For remote access electronic resources only the “Mode of access” note is mandatory. Local practice is requiring the Systems requirements note. At the request of OhioLINK and Preservation we are adding the note about file size because some of these files are quite large. |
| • 856 | Add 856 4_ to record using OhioLINK “rave” link.
Rave URLs will be created using the file name information from OhioLINK site. After the bib record is added to OCLC, the OCLC control number will need to be added to the OhioLINK listing. This will enable them and us to know what titles have been cataloged.
Structure of rave link:
http://rave.ohiolink.edu/ebooks/dmc/OSU/[FILENAME]
where [FILENAME] should be substituted with the real filename of the book.
Example:
http://rave.ohiolink.edu/ebooks/OSU/EllenTerryxxxxxxxx.pdf
The “x's” represent the OCLC number for the ebook record which is inserted between the file name and “.pdf” |
• Use 776 to link electronic reproduction to/from paper reproduction (the original book was destroyed in making the reproductions).
- Add 7761 to record for paper reproduction linking to the electronic.
- Add 530 to record for paper reproduction with the following note:
530 Issued also in an online version.

| • Add 8564 to paper reproduction. |
• Add local fields 949_0 and 949_1 to the record.
