UMI Dissertations Express Workflow

The Monographs and Cataloging Departments recommended, and CAC approved, a change in workflow for UMI Dissertations Express titles. These are the bundles of loose pages that are a by-product of dissertations requested for patrons by ILL. The goal of the procedure is to be more efficient, speed processing, and eliminate creation of duplicate bib records in OSCAR.


Former Workflow:

  1. After patron returns Dissertations Express (DE) pages, ILL sends bundle to the Collection Management Team(CMT)
  2. CMT displays DE pages for collection manager review and assignment of a library location for selected titles. CM’s select almost all titles because they are free.
  3. Once location decision is made, CMT downloads or keys provisional bib record and builds order record to track forwarding of pages to CAT. All DE pages require original cataloging because they are photocopies.
  4. CAT provides original cataloging. Because of date discrepancies with the photocopies, the provisional bib record is not always overlaid resulting in duplicate bibs that require Catalog Maintenance de-duping review.
  5. Cataloged pages are sent to Bindery Preparation for binding, labeling, etc.


New Workflow:

  1. After patron returns DE pages, ILL sends pages directly to Theresa Wei in CAT
  2. CAT provides original cataloging. Location is STX for all titles.
  3. Cataloged pages are sent to Bindery Preparation for binding, labeling for STX.


The proposed workflow eliminates several steps:

  • Pages are no longer handled in CMT
  • Extra bib/order records are not built
  • There is no need to overlay or de-dup bib records
  • Collection manager review is eliminated since locations select almost all titles (Exception: MUS doesn't want DE)
  • Collection Managers can view titles in the monthly "New Cataloging" boolean and can contact STX if they want a title transferred from STX to their location.
  • Since specialized DE titles have limited circulation, this eliminates the step of reviewing titles sent to MAI for transfer to STX in preparation for building renovation.
