WORKING GUIDELINES - SUMMARY

REVIEW FOR TRANSFER OF TITLES TO STX


These are general guidelines. Special circumstances may warrant exceptions. Processing will adhere to existing OSUL policies and guidelines, in consultation with collection managers.

  1. Copies and Holdings
    • No more than 2 copies of an edition should be sent to STX.
    • Thus the total copies in OSCAR would be determined by the number of additional non-STX location copies retained.
    • CMT goal is to consolidate split holdings so there is a complete run of a serial or set in STX (or location) regardless of previous multiple copy numbers.

  2. STX and STX 3 (STX storage conditions are identical; STX3 governs patron access only).
    • Titles sent to Depository are processed for STX unless STX 3 criteria are met
    • STX 3 criteria may include:
      -Imprint prior to 1901
      -Rarity, e.g. numbered limited edition, small printing, etc.
      -Restricted access for artwork, high cost, other risk factors

  3. Prefer to retain copy in best physical condition or with special features. Criteria include:
    • Signed or autographed copies; copies annotated by famous person
    • Copies plated as part of a significant or special collection, e.g. Flory, Balcer...
    • Overall rarity of piece, imprint date, number of copies held in U.S., local interest, etc.

  4. Certain criteria warrant review for withdrawal of duplicates. Criteria include:
    • Offprints, article reprints where a copy is owned in another format(s)
    • One copy already held in STX of large, dated reference work, e.g. Thomas Register
    • Second copy of large serial runs (check USBE, CRL, JSTOR, etc. for dup. disposition)
    • Final copy withdrawals are first reviewed by AD for CM; OCLC holdings must be removed

  5. Physical condition review
    • Poor condition items should not be sent to STX without review to determine if piece should be retained, receive preservation treatment, be stored in STX3, or be withdrawn.
