Document: Policy for Transferring 1800-1899 Imprints from Main Library to OSU Book Depository

As all 1800-1899 imprints are not equally rare, and as OSU Libraries is committed to moving a considerable number of items from the Main Stacks to the OSU Book Depository within a short time frame and with minimal item-by-item review, the following policy will apply to transfer of items with 1800-1899 imprint dates from Main Stacks to the Depository in preparation for Main Library renovation.
All items currently shelved in Main Stacks (item location codes mais, maisa, maisd, maise, and maisu) with imprint dates between 1800 and 1899 will be transferred to the Depository and assigned item location code stx1 with no further review required by individual collection managers.
The need for this policy stems not only from the need to transfer as much as possible from Main Stacks to the Depository as efficiently as possible, but also from the desire to provide reasonable ongoing access for the public to many items being transferred out of Main Library and to provide better protection for them in terms of climate control and security. Because stx3 items require special permission from Rare Book personnel for use, and because the Library staff who can grant such permission are available during weekday working hours only, patrons would be unnecessarily hindered from using materials that had been freely accessible if that location were assigned. By assigning stx1 to these materials, patrons can acquire them quickly, during “off” days or hours, with minimal staff intervention.
Items that are assigned stx1 as a location code will be available for local, OhioLINK and Interlibrary Loan requesting (as they were while housed in the Main Stacks). However, as Depository staff process requests for 1800-1899 imprint items, they will produce an OSCAR printout to be forwarded to the curator of the Rare Books Room who will determine whether or not the item should be changed to stx3 (RAR Depository) upon its return.
No 1800-1899 imprints (physical pieces) should be discarded from the OSUL collections without review by the assistant director responsible for collections.
Implementation of this policy does not prohibit any individual collection manager from designating specific Main Stacks items that they believe to be truly rare as such and assigning the stx3 (RAR Depository) code to those items.
