  1. Location Change (Nancy Helmick)

    Nancy solicited input from TSC members on the impact of changing the OSCAR location code from AGI to FAES to parallel the name change from the College of Agriculture to the College of Food, Agricultural, and Environmental Sciences. About 15 OSCAR tables are affected. Issues discussed included inherent difficulty/non-standard practice of a 4- versus 3-letter location code; less sub-location flexibility; precedent, since depts. and some colleges change names over time; patron displays; in-house training issues if AGI is retained with FAES as the definition. Updating the AGI location in all OSCAR records is a big project. However, if AGI is retained in records, it creates issues with label printing done from OSCAR records. Questions posed included the impact on: - Label printing in Collection Maintenance - Serial issue label printing in SER - Thesis/Dissertation call number construction. Current practice is to use “old” department codes for continuity Nancy will forward TSC issues on this topic and include them in future discussions.

  2. Encoded Archival Description (EAD) (Amy McCrory, Beth Russell)

    Beth introduced Amy McCrory who is organizing finding aids for CGA’s huge San Francisco Collection. Amy described her work with Encoded Archival Description, EAD, a MARC-compatible web display standard developed by the Society of American Archivists. The metadata format allows for searching and indexing within the finding aid. Amy traced mark-up language from HTML to the more complicated SGML, which links definitions to tagged fields. XML, a sub-set of SGML, progressed to EAD, a document definition of XML. Amy described the OSUL Working Group plan to draft local standards for EAD to meet OSUL collections’ unique needs. The group hopes to create templates that can be shared. Special Collections Cataloging may “reorganize” some existing finding aids into EAD but that may be limited since OSCAR collection-level records are still needed for many collections. Amy reports some institutions are developing shared EAD databases. OSUL’s EAD project is stand-alone.

  3. Serials Solutions Proposal Update on Exec Decision (Diedrichs)

    Carol reported that the Executive Committee was not able to review the proposal at its August 19 meeting. In the interim, Serials Solutions options have expanded to provide full bibliographic records for every e-journal owned by OSU, an upgrade of the original proposal to provide data in an HTML web list format. The new option could provide CONSER-level MARC bib records. Only updated records would be supplied in subsequent loads, reducing potential problems from repeated overlays in OSCAR. Costs for each option will be presented to the Executive Committee for a decision.

  4. Electronic Resources Management System (Diedrichs)

    Carol reported on an Innovative Interfaces project to develop an Electronic Resources Management System. This could attach to existing bib records information on license agreements, simultaneous users, and access rights. OSUL currently stores this data in order notes, files, etc. OSUL has agreed to be a development partner with III on this module, agreeing to purchase it in exchange for input during development. Laura Tull is the contact person. HEA, LAW, and Regional account units will be included in the project. III does not have software available, this is a development project. III will look at OSUL needs and national trends during development. What data would display to the public was raised as an issue.

  5. Report from DMSC (Connell)

    Tschera reported on the latest Database Standards Management Committee (DMSC) meeting. Topics included:

    • OSUL wants to be the OhioLINK owning location for EBSCO Database records. Tschera reported on problems with loading the records. She will continue problem-solving since OhioLINK has purchased the records, saving OSUL the cost of obtaining them from other sources. OhioLINK will not purchase new load tables for all libraries but Tschera is investigating whether they will purchase one for us as the source of EBSCO record loads to central. She described concerns with match points and overlays since the records reload periodically, optionally set from 3 x year to annually.
      She reported on e-book projects including NetLibrary and 24 x 7 (Computer Science and Business e-books). ABC-CLIO e-book records are being purchased from OCLC TechPro.

    • OhioLINK will purchase a new III module to claim electronic serial issues for EJC titles.

    • Discussed concerns with TechPro’s adaptation of JSTOR records for use on EJC titles. Since OCLC number is a match point in OSCAR, this may overlay existing OSUL records.

    • Table of Content (TOC) tape loads may be discontinued until III can fix bugs. Currently, the same TOC’s are reloading as many as 40 times into OSCAR. III needs to correct so that data loads only once per title.

    • DMSC is almost done drafting a letter to Tom Sanville expressing strong concern with III’s Millenium software. It is hoped that a consortial-level expression of concern will induce III to fix inherent problems. Laura Tull reports MIL Phase 2 does contain fixes, including enhancements to the record editor, however TSC members who have tested Millenium stated their concerns with the amount of corrections still needed.
  6. New Business

    Eleanor Block mentioned working with Jim Murphy on DVD’s with uniform titles. She related how some foreign films would benefit from added title entries that are not supplied during cataloging. In discussion, it was agreed the level of subject expertise required to do this for foreign films, and all other subjects handled by OSUL, is not there. Jim indicated he will handle requests for cataloging enhancements for JOU’s DVD’s. Noelle’s area also enhances cataloging, depending on type and format of material. Some of Eleanor’s concerns are also display issues in the catalog, not changes which can be made to the record.

    Carol reported on the Collection Managers Forum discussion of Magda’s presentation proposing elimination of five local cataloging practices. The Forum was the last of several presentations of the proposal. There was no strong opposition to discontinuing local practice relating to Table 40, translations, third cutters, and adaptations and criticism. Changes will be implemented to follow LC practice in these areas with a tentative start date of September 1, 2002.
