Technical Services Committee
Meeting Summary
May 11, 2006
Attendees: J.Bennett, W.Boomgaarden, T. Connell, T.Davis, M. El-Sherbini, S. Ferguson, M. Hamilton, L. Hartel, M. Jamison, J. Kuehn, C. Obong, M. Rider, S. Rogers, B. Russell, M. Scott, N. Van Pulis, Sally Muster and Tony Maniaci and other Technical Services staff Absent T. Grahm

  1. Location code issues

Background:A number of collection moves will occur as a result of the move out of Main Library scheduled for summer 2006. Many of the OPAC displays associated with item record location codes will be changed so that users will know where to find the items, but the actual location codes will not change. Some implications for the labelling workflow recently were identified as a result of EHS being renamed as Sullivant Library (SUL). A question to be discussed is whether we should discontinue putting the location code (for locations other than Main) over the call number on the verso of the title page and on the spine label.

Decision: After extensive discussion and weighing the pros and cons, it was decided to continue adding the location code on the spine of the item and on the verso of title page.

  2. Accompany materials (Noelle Van Pulis)

Background:In the course of implementing the revised accompanying materials policy, an additional question came up (see Noelle's email included below that was sent to TSC previously). TSC needs to approve how to handle this situation.

Decision:Noelle discussed the issue of what to do if cdroms accompanying a text. She presented two alternatives and the group agreed to number them. For examples: cdrom1, cdrom2.

If the cds are packaged together, the volume ID would be: crdom1-2

Cheryl Obong brought up the issue of special issues and how to label this. She will work with Tschera and find examples and send it to Noelle. Noelle will mockup options for TSC to review.

  3. Technical Services documentation
Background:TSC will review the volume identifier list http://library.osu.edu/sites/cataloging/voluid.htm as the next item of Technical Services documentation to consider for possible revision. What other policies or procedures are most in need of attention next?

Decision: Noelle also presented the issue of volume ID. Noelle will add the ID's that were agreed upon e.g. box and text.

  4. Membership issues
Background:Two members' terms are up 6/30/06 - John Bennett and Marty Jamison. They are welcome to continue for another term if they wish. If not, we need to identify possible new members.

Decision: Marty Jamison and John Bennett will not continue serving on the committee. Lisa Iacobellis will replace John and Marty will send recommendation to Sally about who will replace him.

  5. BIBCO issues (Magda El-Sherbini)
Background:Magda will report on issues from the meeting of BIBCO coordinators that she attended in Washington, D.C., at the end of April. LC announced a major change in handling of monographic series effective 6/1/06 that has implications for the bibliographic utilities and for all libraries that use their cataloging copy. Magda also is investigating what would be involved in participating in a new E-CIP (electronic cataloging in publication) program.

Decision:Magda updated the group on the BIBCO coordinators meeting that she attended in Washington, D.C., at the end of April. She briefed the group on the Library of Congress' decision to stop controlling series and the implications of this decision on libraries and bibliographic utilities. She said that LC is delaying the implementation until the end of May until the utilities and libraries prepare for this major implementations.

She also briefed the group on the Electronic Cataloging In Publications and she mentioned that Barbara Dunham and she will investigate the possibility of having OSUL join this program.

  6. Brief status report on development of RDA (Resource Description and Access) to replace AACR2 (Magda El-Sherbini, Tschera Connell)

Magda and Tschera presented a status report on the development of RDA (Resource Description and Access) which is new cataloging standard and willl replace AACR2. Magda showed a powerpoint presentation at the meeting. Powerpoint Presentation

  7. Technical Bulletin

Tschera mentioned that the new coding practices for integrating resources is already released. Magda added in the minutes this information for TSC: “This announcement is in the Technical Bulletin 252: OCLC-MARC Format Update 2006 is now available in PDF format on the OCLC web site at http://www.oclc.org/support/documentation/worldcat/tb/252/ (the HTML version is forthcoming). Other items in the TB are:

    • New coding practices for integrating resources
    • Bibliographic and authority record changes (changes to fields, subfields, values, and indicators)
    • MARC code list changes
    • Character set changes
    • 006 template and fixed field display changes
    • Summary of Connexion changes “

  8. Wiki used for TS documentation at Drexel (Rebekah Kilzer)
Background:Last year, TSC discussed possible revisions to the TS Web site but decided to focus on revising content first. Rebekah left Drexel just as they were starting a wiki for their TS documentation. She will show screen shots of Drexel's wiki. Perhaps we can derive ideas for our site from Drexel. Rebekah is participating in an newly formed OSUL wiki interest group that is interested in experimenting with wikis.

Decision: Rebkah will work on a sample document using Wiki and send it to TSC for comments.

  9. Next meeting: August 10 (subject to change or cancellation due to move out of Main Library)

    Respectfully submitted,

    Magda El-Sherbini
