  1. OCLC Connexion test (El-Sherbini)

Online training for testing OCLC Connexion, the new cataloging interface, will be held April 23 from 2-4 pm. OSU is participating along with other institutions around the world in testing the Connexion client interface before its official release in June 2003. Deb Cameron will be coordinating the training and testing as the liaison with OCLC. Some on-site training will be offered after the new software is released in June. The Cataloging Dept. expects to migrate gradually to Connexion which will probably be easier for people who are already using CatME. Passport for Windows will be phased out in Dec. 2003.

  2. Analytics (Van Pulis)

Analytics have been coded inconsistently for Itype in the Item records. For currently- processed materials, catalogers have been using "0" (Itype="0"), treating analytics as books since they are primarily monographic in nature. However, many analytics, especially those transferred from LCS, are coded as serials with Itype="1" and these records need to be corrected. Nancy Helmick has identified 140,000 records with Itype= "0" and 46,000 records with Itype="1." In addition, there is a group of 105,000 Main library analytics that were previously flipped to Itype="11" in order to restrict circulation (to 1-week only, non-renewable) and limit to local patrons. Itype "11" could be applied across the system, but it would be extremely difficult and time-consuming to do so.

TSC endorsed a recommendation to treat all print analytics the same as monographs (books). They should circulate like books and should be coded Itype=0. Noelle will review and flip incorrectly-coded records to Itype=0. The analytics documentation will be updated to reflect these recommendations and record what was done. A related request to evaluate the display of the LibHas field at Central to correct inconsistent status as "non-requestable journal" will be forwarded to Penny Pearson for possible revision of language or referral as enhancement by the OhioLINK state-wide Users' committee.

  3. Volume Identifier for "incomplete" holdings (Van Pulis)

TSC approved release of the Volume Identifier draft document which states that "when some pieces of a bound volume are missing, always give specific issues or volumes; do not use the word "incomplete" as part of the identifier." This change in policy should make it easier for remote users and for patrons requesting volumes from the Depository to determine whether those volumes actually contain the issues they require.

  4. One record for E-journals (Connell)

CONSER (LC's Cooperative Online Serials program) has adopted a change in policy to use or create a single record for electronic serials that happen to be available from various aggregators or providers. Currently, OSU has been creating multiple records to represent multiple versions. CONSER has concluded that because the content derived from publishers is identical (although distributed via different vendors), they will create a single, "aggregator-neutral" record for all versions, based on the publisher's web site.

Tschera recommends that OSUL adopt a single record for OSU individually subscribed titles. In the bib record, the 856 field (Electronic location/access), subfield 3 (Materials specified) can be used to reflect the content available from a particular URL (similar to a LibHas statement). In the long term, a recommendation should also go to the state-wide DMSC that OhioLINK use the new CONSER "aggregator neutral" records for OhioLINK journals. Adopting a single record approach will not eliminate multiple records in the database as there will still be separate records for print vs. electronic versions. Tapeloaded aggregator journal records received from EBSCO Host or Serials Solutions will also be maintained separately as these records will change or be removed over time.

  5. Meeting schedule

The meeting schedule will be changed from every two months to quarterly.

  6. Next meeting

The next meeting will be July 24. (The June 26 meeting has been cancelled.)
