CAC Report to the Faculty

Activities to date

  1. One time funds the Council has made a call for proposals for one-time funding to collection managers with proposals due 1/31/03. These proposals will be reviewed at the CAC meeting on Feb 13, 2003. The list of approved requests will be posted on the Technical Services web page at /sites/techservices/cacmenu.htm once decisions have been made.

  2. Serials cancellation planning The majority of the Council's attention in winter/spring 2002 was focused on planning for a serials cancellation project. The Council has reviewed budget scenarios and plans recommended by the Serials/Electronic Resources Department. Final decisions were made at the end of the fiscal year to cancel 3% across the board. The individual decisions by collection managers were implemented by the Serials/Electronic Resources for subscriptions beginning on January 1, 2003.

  3. Storage guidelines the original storage policy which was passed in 1988 as the Depository was under development was now seriously out of date. The policy has been revised into a set of guiding principles or guidelines. The details can be found at /sites/techservices/storageguidelines03.htm.

  4. Pre-1900 imprints policy After considerable discussion and revisions, this policy was finally approved in early 2003. The details can be found at /sites/techservices/pre1900imprints.htm.

  5. American Fiction Collection in April 2002, Geoff Smith presented his American Fiction Collection Proposal to limit the scope of the collection and focus on 19th and 20th century authors. CAC approved the proposal.

  6. CIC Print Retention Project the CIC Collection Development Officers are experimenting with a print retention project to preserve a print subscription to every title published by Academic Press. In consultation with collection managers, Carol responded to CIC that OSU would promise to retain 11 individual subscriptions in print for the next 3 years.

  7. Dissertations Express Workflow a new workflow for the processing of Dissertations Express titles was approved (see: /sites/techservices/dissexpwkflw.htm). The fundamental change is that these will no longer be reviewed by collection managers. Instead, they will be automatically cataloged and sent to STX.

  8. Selection and Cataloging of Free Internet Resources on OSCAR The revised policy was approved. It is expected that this policy will be reviewed and updated periodically as needed. The former policy can be found at /sites/techservices/intresrc.htm. The new policy is located at /sites/techservices/intresrc053002.htm. In the earlier policy, collection managers entered their requests for cataloging web sites into OCLC CORC database as part of our test. The new workflow provides a web-based form for collection managers to complete.

  9. DISC proposals at its June 2002 meeting, Wes Boomgaarden joined the meeting to discuss the six digitizing proposals the Libraries' Digital Initiatives Steering Committee is evaluating. CAC reviewed each proposal and provided a content assessment for consideration in DISC's overall review of these proposals.

  10. Ohio Congressional Archives - Jeff Thomas reviewed the collection management and development policy he prepared for the proposed Ohio Congressional Archives. Archives is not asking for additional resources to support the Ohio Congressional Archives at this time. The response to the proposal from faculty affiliated with the Glenn Center has been mostly positive. Members of the Council were in general agreement that the policy should be approved.

  11. Checking and Correcting URLs Trisha Davis provided two handouts and discussed a trial project of checking and correcting URLs in catalog records for serial titles. Blake Carver created a program that identifies broken URL links. S/ER examined the serials ones and subsequently corrected, deleted, or took other appropriate action. This test was very encouraging, and S/ER will try to do this on a quarterly basis. The Cataloging Department is tackling the monograph portion of this project.


Ongoing activities

  1. Serials cancellation planning the Libraries' budget for FY04 is still uncertain. However, ever-rising serials costs are a given. The CAC is currently planning for a serials cancellation with targets for each fund of 3, 4 and 5 %. The first recommendations for items to be cut are due Feb. 28, 2003.

  2. Serials Solutions Proposal CAC and the Executive Committee approved a proposal to purchase bibliographic records from Serials Solutions for the full text (and partial full text) electronic journals we receive from aggregators. When these records are loaded into OSCAR, we will investigate a feature of the III software that will allow us to generate an HTML list of electronic journals.

  3. Shelf-ready approvals at its July 2002 meeting, the CAC discussed how to expand the discussion of whether to pursue shelf-ready approval processing. As a result, an open forum was held on November 20, 2002 with speakers from Penn State. The next steps are now in the hands of the Monographs Dept. to refine the profile in some areas so that a trial of the process can be started with several collection managers who have expressed interest in experimenting.

  4. NetLibrary Usage data and extension of purchases Carol distributed some sample statistics on OSU's use of netLibrary titles. OhioLINK restarted its purchase process in the fall focusing on 2001 and 2002 imprints and a more limited list of publishers. CAC discussed whether OSU should also purchase titles on its own behalf which are not covered by the OhioLINK collection. Carol will post a list of turnaway statistics for all collection managers to review as the next steps in this discussion.
