SUBJECT: OhioLINK Major Microform Sets

Summary of status:

Records were loaded in Summer 1997. For most sets for which we are an OhioLINK lending library, processing was completed in 1998.

As of August 1999, bib and item work was completed on 102,108 records, with some unsuppression remaining (delayed due to problems with queue to central). Work remains to completed on approximately 10,565 records, of which 2,380 were newly loaded in August 1999.

OSU received fewer records for sets for which we are a primary lending institution than for sets for which we are secondary. Work on the lending sets has been problematic due to finding that we do not own pieces for which records were received, or we did not receive the records. For most of these sets, work is postponed pending administrative collection decisions.

Total number of records specified for all sets: 144,363 Total number of records loaded to OSCAR: 125,526

The discrepancy is presumed due to incorrect record counts specified in 1996. There are minor differences, in some cases, between the record count on the OCLC order and the number actually identified post-load.

For 4 serial sets, inventory, bib and item work is complete on one and remains to be done for the other three. For one set, HRAF, work was put on hold per G. Dannelly in August 1998. For the set, we did not get the records, estimated to be ca. 3500 (Sabin collection). For one set, identified in 1999 August an additional 286 records to process (Slavery source materials). For two sets, additional cleanup is needed to delete short records that came from LCS to OSCAR, when a full record was acquired through the microforms project--de-duping work began in July 1999 (Early English Books, or "Wing" and "STC").

In January, OCLC holdings were deleted for the set Landmarks II (Landmarks of Science II), after it was determined that we owned only a few hundred of the 5537 titles for which we loaded OCLC records, and the Libraries were not going to purchase the titles, at least not in the microprint format. This was discovered due to Interlibrary Loan requests for materials not actually held. A similar finding has occurred with the set, Pamphlets in American History, and a collection decision is pending.

April 7, 1999: The Assistant Director for Collections and the A.D. for Technical Services met with Cataloging representatives to discuss sets for which collection development decisions were pending. This document reflects that discussion.

May 5, 1999: Purchase approved for German Baroque Literature, Yale Collection (2380 records).

August, 1999: Records for German Baroque Literature, Yale Collection, were loaded. The chart and notes were updated for this report, following review of the database and earlier information.
