Background:
In working out errors in the processing flow, the question was raised about the usefulness of the ICODE1 values for monographs, mono sets, and serials (codes 1-3). In LCS, it was necessary to flag monographs, mono sets, and serials separately in order to support the display and circulation of multiple copies and volumes; however, this is not necessary in OSCAR.
The monograph, mono set, and serial flags were mapped from LCS to OSCAR as ICODE1 values because it was not known at that time if the information would be useful for some other purpose. Having used OSCAR for several years, we have identified other alternatives (see below) for distinguishing monographs, mono sets, and serials. We have also found that the opportunity for error in coding ICODE1 is greater for mono sets, particularly when a primary work and accompanying material are involved.
CHANGES in POLICY:
1. ICODE1 values 1, 2, and 3 will not longer be assigned to item records effective immediately in order to simplify processing of new materials and creation of new item records.
Use a default value of 0 instead (it is not possible to use a "-" or to leave ICODE1 blank).
2. As other types of item record updates are made, item records with an ICODE1 of 1,2 or 3 may be updated to 0 at the same time.
3. The number of item records with these codes in the system is too great for us to change them by rapid update. Generally, do not update an item record just to change ICODE1 from 1, 2, or 3 to 0. There are over 5 million item records in OSCAR, most of which would need to be updated in order to eliminate codes 1-3. Such a project is not being undertaken, due to the computer resources it would require, because it has been determined not to be of the same priority as the other types of record loads and updates we generally do.
4. Continue to use the following ICODE1' s values:
ICODE1 value 4 used for analytic
ICODE1 value 5 used for bound with
ICODE1 value 6 used for non-networked databases
ICODE1 value 7 used by Law for new book list
ICODE1 value 78 used by Law for GOV DOC new cataloging
ICODE1 value 8 used by Law for GOV DOC retrospective cataloging
ICODE1 value 999 used for marking the item record for deletion
IDENTIFYING MONOGRAPHS, MONO SETS, AND SERIALS IN OSCAR
1. When looking at an OSCAR record
BIB LVL in bib record = m Monograph
No volume field in item record
BIB LVL in bib record = m Mono set
Item record contains volume field
BIB LVL in bib record = s Serial
2. When using Create Lists to collect a boolean file
a) To find MONOGRAPHS, use strategy:
BIB LVL = m AND VOLUME =
If you are collecting bib records, enter the BIB LVL criterion; then use the question mark and select Item to add "volume equals blank" (press return to signify "blank" after keying = )
If you are collecting items, enter the volume criterion; then use the question mark and select Bibliographic to specify the BIB LVL
b) To find MONO SETS, use strategy:
BIB LVL = m AND VOLUME <>
If you are collecting bib records, enter the BIB LVL criterion; then use the question mark and select Item to add "volume does not equal blank" (press return to signify "blank" after keying the tilde, which displays as <> for "does not equal")
If you are collecting items, enter the volume criterion; then use the question mark and select Bibliographic to specify the BIB LVL
If you want to exclude analyzed msets, use:
BIB LVL = m AND VOLUME <> AND ICODE1 <> 4
c) To find SERIALS, use strategy:
BIB LVL = s
