Subject: Cost of Pinyin Conversion

There are two projects which we would like to complete at the same time: 1) Converting Chinese records to Pinyin; 2) Adding the 880s fields to Japanese and Korean records. The reasons for proposing the two projects are: 1) To avoid the OCLC waiting list; 2) These two projects are similar in nature; 3) We don’t have to write two contracts and two specifications; and 4) The setup will be done one time.
We made the assumption that we need to send all the Chinese, Japanese and Korean records both with and without the 880s for retrocon batch processing. The reasons for this are: 1) We will be able to correct many existing errors in the bib records; 2) We will be able to upgrade some of our minimal level records to full, 3) we will be able to enhance our access points, 4) We will be able to correct many of the encoding errors, 5) We will save staff money and time involved in manually cleaning up these projects in house.
The following is the cost of converting these records for: 1) if we send all records, and 2) if we send only the records without the 880s.
1) Converting Chinese records to Pinyin:
Pinyin cost per record is 0.12
Retrocon batch cost is 0.396
Number of Chinese records is 58,836 (25,695 without 880s)
Processing all records Processing records without 880s
Pinyin setup cost $500 $500
Pinyin cost $ 7060.32 $7,060.32
Retrocon batch cost $23,299.06 $10,175.22
Subtotal $
30,859.38 $20,388.83
2) Adding 880s to Japanese and Korean records:
Number of Japanese records is 42,226 (25,399 without 880s)
Retrocon batch cost $ 16,721.50 $10,058.00
Number of Korean records is 1,831 (454 without 880s)
Retocon batch cost $ 725.076 $179.78
There will be other costs for the authority processing and customized reports.
