1. Purpose
This document is aimed at better reflecting your monthly cataloging performance.
As a routine cataloging procedure, you enter your cataloger’s code (xxk for example) in the 910 field each time you create a new bib record. When you export that record to Millennium, the system keeps your cataloger’s code at the same time of taking the record into OSCAR. This way, the system can tell us how many records you have brought into Millennium every month using your cataloger’s code. But this is a “machine” calculation, and it only reflects the number of new records you created, but not exactly what you have really worked on during the month. Therefore, it is important for you to keep a manual statistics, so both you and your supervisor can have a better record of what you have done. In case of dispute, your own statistics can help explaining your performance.
2. Responsibility
Every staff and student worker in the cataloging department is responsible to keep a monthly cataloging statistic, and submit it to section supervisor by the end of the month (or the last day of your monthly work).
3. How to use the form
Fill out your name, month, and language of the materials you catalog. If you are an hourly student, fill out how many hours you worked for the month you are reporting; for GAAs, because you are required to work 20 hours per week, you should put either 20 hours or the exact number of hours you worked during that month. The hours have to be agreed with your timekeeping report.
* It is important to include how many hours you worked for statistic purpose.
The main part of the form is divided into rows representing the formats of materials you work on, and columns indicating level of cataloging work. File separate sheets for different projects you work on. The following is an example:

Explanation
- “Original cataloging” means either you created a new bib record for a title and contributed to WorldCat, or you added Call number and Subject headings to an existing bib record on Connexion.
- “Copy cataloging” means you found a matching bib record in WorldCat and used for our item.
- “Total titles” means the number of titles you processed. Note, it must be new to OSCAR. This eliminate duplicates or added volumes.
- “Total vol. or pieces” means the total number of volumes you processed. This is useful for reporting multi volume works.
- Finally, “duplct. or added vol.” means the number of duplicates (i.e. 2nd or 3rd copies) and new volumes you added to an existing bib record on OSCAR.
- At the end of every day job, you sum up the total number of titles as well total volumes you processed. Then, at the end of the month you calculate the totals.
* You can adopt the Chinese 正 method: each stroke of 正 represents a count; and each 正 represents 5 counts.
