Document: Bound-with processing for monographs
Date: 2004 June 10 (was 1999 June 24 rev.)
Issued by: Cataloging Dept. (nvp)
Effective: Immediately
(Call number policy change approved by TSC May 13, 2004)
Change: Discontinue use of a ‘work number’ in bound with call numbers
Rationale: a ) it is a carry-over local practice that is not needed in the online system (was required in old system, LCS)
b) it causes failure to find on shelf when the record contains a work number in the call number but the shelf label does not include it
c) it has been inconsistently applied
Criteria for ‘bound with’ treatment
When two or more separately published works are bound together (either by a publisher or locally under one cover or comparable packaging), then process as “bound-with.”
These guidelines cover most common cases. Exceptions are treated on a case-by-case basis in consultation with a supervisor.
Examples include two or more works bound together in one print volume, and two or more works filmed together on one reel. The volume or reel is the ‘container.’
For rules and standards concerning ‘bound with’ material, see:
AACR2rev; LCRI 1.7B21
OCLC Bibliographic Formats and Standards (especially MARC field 501 and 590).
Bound-with treatment (local system)
A separate bibliographic record will be provided for each work, but only a single item record for the physical piece (the ‘container’). All works therefore are individually searchable by author, title, subject, etc., but all have the same circulation conditions.
For some microfilm sets, records were batch loaded and do not contain ‘bound with’ notes. Also, there are cases where 50+ titles are filmed on one reel (e.g. broadsides) and such a note would be impractical.
Generally, a container which carries a collective-level title is not considered ‘bound-with’ and is not treated in this manner. Standard practice for collection level cataloging applies in such cases.
Bibliographic records:
Provide separate bibliographic records, usually at full OCLC encoding level (e.g. I), for each work. The item record is attached (“primary link”) to the bibliographic record for the first work and has secondary links to the bibliographic records for each subsequent work. It is preferred that the links be made in the order in which the works appear in the container (while in item record attached to the first work, link to bibliographic record for second work and then third work, etc.).
For each work, there should be a full bibliographic record that meets national and local standards and practices. An exception is made for the call number, as follows:
Call number:
Assign call number to the first work according to national and local standards and practices. This might include call number suffixes, such as “Microfilm.” For second and subsequent works, assign same call number as the one used for the first work.
Exception for original records:
For the first work, input call number in OCLC according to national standards. Omit local elements, such as “Microfilm” suffix. After adding record to OCLC, edit call number for local practice, such as suffix, and export to local system.
For second and subsequent works, choose one of two options:
a) Create and input a call number which fits the content of each work.
Example:
• First title* PN123.A12B341985
• Second title (bound-with) PN123.A12B341985:2
• Third title (bound-with) PN123.A12B341985:3
These call numbers are delimited in 090 fields according to standard practice for OCLC input.
PLEASE NOTE THAT CALL NUMBER WITH “:1″ (Colon 1) are not used.
1. Marking Book
The book is marked only with the call number of the first title on the verso of the title page for the first title. Do not mark call numbers for subsequent titles.
1. Subject Headings
Each title will be assigned subject headings to correspond with its own contents.
300 Describe in this field the pagination, etc., that pertains to the particular bibliographic record. This applies to each title including the first title.
501 Use this field for a bound-with note.
The note on the record for the first title refers to all titles which are bound-with the first title.
Example:
501 bb With: Out of the depths / Mary Ryan. New York : [s.n.], 1945. — Label your luggage / Robert Nash. New York : [s.n.], 1945.
The notes on records for bound-with (i.e., second, third, etc.) refer only to the first title.
Example:
501 bb With: Iracema : the honey-lips / by J. de Alencar. London : Bickers, 1886.
590 For original input use 590 for all “With” notes when bound-with titles were bound together by anyone other than the publisher.
Example:
590 bb With: Of the sister arts / H. Jacob. New York : [s.n.], 1970.
Linking bound-withs
When you create on OCLC the bib records for the item 2, 3, 4 etc DON’T add 949 1 to create the item records for these items. Instead go b ack to OSCAR and link bib records for titles 2, 3, 4 etc to the first bib record number.
Cataloging bound-with titles for containers consisting of multiple units, e.g., MSETS.
Bound-with items are not usually published in more than one volume. There are some exceptions as follows:
Bound-With MSETS
Two or more works bound together and published in two or more volumes.
1. Call Number
Give the bound-with titles in the volume the number which indicates its place ( or, position) within the entire work (i.e. the title number) plus the number assigned to the volume. Separate these two number by colon. ( i.e., RA54.H7:2v2) in the 090 field.
Example:
• 090 RA54.H7v1
• 090 RA54.H7:2v1
• 090 RA54.H7:3v1
• 090 RA54.H7:4v2
• 090 RA54.H7:5v2
It should be noted that in these cases there will never be a call number with “:1″ (colon 1).
2. For titles which are contained in more than on physical volume, consult with supervisor. For examples of bound with titles see the following record (bib) numbers:
- b4031957X
- b40319581
- b40319593
- b4031960x
