Ohio State University Libraries’ Spot Bonus Program

The University Libraries’ Spot Bonus Program provides cash rewards to its employees (Civil Service, A&P, Faculty, and Student) consistent with University Reward and Recognition Policy 3.15.

Goals

The Libraries Spot Bonus Program is a mechanism to:

  1. Recognize and celebrate an extraordinary deed beyond the scope of the recipient’s normal job responsibilities that furthers the mission of the Libraries.
  2. Foster a culture that values meritorious contributions of staff.
  3. Encourage excellent performance.
  4. Provide a reward that is timely.

Notes

The Spot Bonus is supported by the Libraries operating funds, not compensation money received from university central administration. The bonus is not a substitute for base salary adjustments due to equity, market, reclassification, promotion or temporary increases in responsibility.

Library employees may be nominated and receive recognition for separate extraordinary deeds more than once per year, but they can receive only one Spot Bonus cash award per fiscal year in accordance with University Reward and Recognition Policy 3.15.

Administration

Administration of the Spot Bonus Program will be the responsibility of the Assistant Director for Administration and Planning to whom questions may be addressed. The Assistant Director for Administration and Planning will review the Spot Bonus Program regularly for effectiveness, continuance, revision, or termination.

Procedure

  1. Any library employee may nominate an individual or the individuals of a group. Each member of a group will need to be nominated separately.
  2. The nominator submits a nomination via web form describing the action and explaining why it is extraordinary and merits a bonus.
  3. The sequence of review and approval is:
    1. Nominee’s supervisor and Libraries Human Resources
    2. Nominee’s Assistant/Associate Director
    3. University Libraries Director
  4. The Director sends a message of congratulations to the recipient with copies going to the nominator, supervisor, and Human Resources for the nominee’s personnel file. Student recipients will receive a $50 cash award.  Civil Service, A&P, and Faculty recipients will receive a $300 cash award. All cash awards are processed according to University Reward and Recognition Policy 3.15.
  5. Communications writes an article for News Notes about the accomplishment.
  6. Recipients are acknowledged at the next Libraries General Meeting and their names are added to a Spot Bonus listing on the Libraries staff web site.
